Job Description

They will support UK based Partner and Associate Attorneys in our data privacy practice. The Assistant will be required to work collaboratively with the Mullen Coughlin USA as part of a cohesive administrative and intake teams based in the US. This is a full-time position a daily schedule of 9:00am to 6:00pm BST (including a 1-hour lunch break). This is a hybrid position with a requirement to be in the London office a minimum of 3 days per week.

Requirements
  • 4+ years of experience as a practice assistant or legal secretary.
  • Knowledge of legal terminology, legal documents and legal processes.
  • Strong computer proficiency in the use of MS Office, document management, and database software.
  • Excellent communication skills, written and verbal.
  • Superior organizational skills including filing, communication triage, and proactive calendar management.
  • Time management skills and ability to work independently as well as with a team
  • Ability to display discretion when dealing with sensitive and confidential information.
  • Strict adherence to Firm protocol with regard to case management.

Sample of Responsibilities
  • On a day-to-day basis, works under the direction of attorneys to whom the Assistant is assigned.
  • Under general supervision, supports the delivery of quality legal services to clients by providing secretarial and administrative assistance to attorneys, performing complex and time sensitive specialized secretarial and clerical tasks, and working collaboratively and cooperatively with others in a team-oriented environment.
  • This position supports multiple attorneys as primary assignments and provides back-up secretarial assistance to other attorneys as assigned.
  • Intake new cases, open and close files.
  • Document and assist attorney in meeting critical deadline driven management of case work.
  • Draft and finalize professional correspondence and meet deadline driven responses to regulatory agencies.
  • Independently composes and drafts routine cover letters and documents.
  • Proofreads documents and checks for appropriate formatting, spelling and grammar.
  • Prepares and processes outgoing mail and faxes, arranging for specialized mail or messenger services as required.
  • Maintains and updates the calendars for assigned attorneys, including meetings, appointments, due dates, and client-related activities.
  • Maintains paper and electronic files in compliance with internal policies.
  • Performs routine filing and retrieves files as needed.
  • Prepares expense reimbursement and disbursement requests.
  • Coordinates travel arrangements, prepares itineraries, and prepares travel expense reports
  • Directly communicate with internal and external customers.
  • Is proactive in anticipating the business needs of the assigned attorneys; plans ahead and meets deadlines.
  • Other tasks as reasonably assigned.
