Job Description

IT Project Manager/PMO (E-Invoicing & Coupa) - English Speaking - Poznan, Poland (Some remote work possible). Start Date. 4th May 2026. 5 months+ Contract Assignment. End Client.

Our end client is looking to hire an IT Project Manager, to integrate vendor technology to facilitate the first phase of E-Invoicing. This requires the ability to work between the vendor, the business team in finance and IT teams accountable for delivery. Must have a demonstrated track record for hands-on project management and a proven ability to identify and work with teams to resolve issues.

In this role, you will help implement PMO standards and governance frameworks while driving adherence across the project and program landscape. You will ensure that Program and Project Managers understand our processes, apply established methodologies, and maintain high quality, compliant delivery practices.

The role will also involve IT Project Management/PMO for a project relating to a Coupa project.

Key tasks and deliverables:

  • PMO Standards, Processes & Operational Governance
  • Assist project and program teams in using PMO templates, tools, and processes by providing guidance on where to find materials and how to complete required fields.
  • Conduct basic checks on submitted documents (eg, status reports, RAID logs) to verify completeness before escalation to PMO leadership.
  • Maintain shared PMO repositories, ensuring the latest templates, forms, and reference documents are accessible and properly organized.
  • Support compliance efforts by updating trackers, logging review outcomes, and flagging missing documentation to the appropriate project manager.
  • Assist with aligning project financial records by gathering data from teams and helping reconcile entries with guidance from the IT Financial Manager.

Tactical Oversight & Portfolio Operations:

  • Track and update key project operational data (milestones, risks, issues, schedule checkpoints) in PMO systems or spreadsheets under direction from PMO leadership.
  • Collect inputs for scope, schedule, and risk summaries from project teams and enter them into centralized trackers for review by senior PMO roles.
  • Support maintenance of integrated change roadmaps by updating dates, statuses, and dependencies as provided by program managers.
  • Prepare first-draft operational reports, dashboards, or slide content by compiling data from teams and formatting it into PMO templates.
  • Coordinate with the ServiceNow team by submitting requests, validating updates, and gathering user feedback for PMO process improvements.

Steering & Governance:

  • Prepare governance materials by collecting project updates, formatting content, and assembling draft decks or reports for PMO leadership review.
  • Support governance meetings by managing logistics (scheduling, invites, agendas, pre-reads) and capturing action items or follow-ups during sessions.
  • Track submission of required governance artifacts (charters, RAID logs, financial summaries) and remind teams of upcoming deadlines.
  • Serve as a communication channel by distributing PMO announcements, updated templates, and meeting outcomes to project teams.

Additional Information:

  • This is an initial 5 month project, will likely extensions to be based in Poznan, Poland (with some remote work possible).
