Role Summary
The IT & AV Associate ensures the smooth delivery of all technical services within The Conduit, supporting both daily operations and event execution. This hands-on role covers IT infrastructure and upkeep, AV setup for meetings and performances, and acts as the first line responsive support to staff and members.
Working closely with external providers and internal teams, the associate helps maintain reliable equipment, supports live events, and ensures a high standard of service across the club. A calm, collaborative, and service-oriented approach is essential in this dynamic hospitality environment.
Responsibilities & Key Duties:
IT Infrastructure Oversight:
Ensure that the club's IT, AV, and operational infrastructure runs smoothly day to day, supporting both member experience and staff efficiency.
Assist with network, hardware, and software management with support from our external suppliers. Keep core systems (Wi-Fi, AV equipment, security tech, etc.) in good working order.
Raise and follow up on any issues or service gaps, working collaboratively to find practical solutions that minimise disruption.
Support preparations for any refurbishments, upgrades, or new installations by coordinating access, timelines, and impact on club operations.
Support onboarding/offboarding of staff including hardware setup and account provisioning
Meeting Room & Conference Support:
Set up and support AV for internal and member meetings, talks, and hybrid events
Configure and troubleshoot video conferencing platforms (e.g., Zoom, Teams)
Ensure seamless operation of screens, cameras, microphones, and speakers in meeting rooms
Provide on-demand support during live sessions to ensure professional-quality delivery
Liaise with speakers and presenters to test and optimize setups ahead of events
Live Music & Performance Event Support:
Provide full AV and sound engineering support for live music events, DJs, and performances
Set up and manage PA systems, microphones, monitors, mixing desks, and backline
Conduct sound checks and live mixing for Front of House (FOH) and stage monitoring
Coordinate with performers and event producers to meet technical and timing needs
Ensure safe handling and regular maintenance of music and stage equipment
Planning & Resource Management:
Maintain an inventory of all IT and AV equipment, coordinate repairs, replacements, and upgrades in line with operational needs and budget.
Develop and maintain a proactive maintenance and lifecycle plan for all technical assets.
Support the planning and delivery of technical requirements for high-profile or complex club events.
IT Strategy and Governance:
Support and uphold IT governance policies within the club, ensuring local practices align with organisational standards.
Support compliance with internal protocols and relevant regulations by maintaining accurate documentation and secure systems usage.
Conduct periodic checks and informal audits of IT and AV systems to identify areas for improvement, mitigate risks, and ensure operational readiness.
Collaborate with central IT teams or external providers (e.g. Shard) to apply best practices in cybersecurity, data protection, and system management at the club level
Communication and Collaboration Skills Required
Confident and Professional Communicator: able to engage effectively with members, guests, and staff while clearly explaining technical issues in simple terms and ensuring a seamless AV or event experience
Cross-Functional Collaboration: Comfortable working with multiple stakeholders, including, service providers (e.g. Shard), club operations, event producers, and performers.
Proactive and adaptable in high-pressure environments, skilled at identifying and resolving issues quickly with minimal disruption, and maintaining calm, clear communication during live events or hybrid meetings."
Detail-Oriented Reporting: Comfortable creating and maintaining documentation, logs, and status updates to support compliance, performance tracking, and handovers.
Desirable Skills & Experience
Essential:
3-5 years' experience in an IT or AV support role, ideally in a hospitality, or events-based setting
Strong working knowledge of AV systems (PA, microphones, mixers, projectors, speakers, etc.) and live sound engineering
Experience supporting meeting rooms, hybrid events, or live talks using platforms like Zoom or Microsoft Teams
Solid understanding of IT basics: network troubleshooting, hardware setup, Windows/Mac support, user access provisioning
Comfortable working independently and responding to time-sensitive technical issues during live events
Desirable:
Experience working in a private members' club, events venue, hotel, or similar high-service environment
Familiarity with systems used in hospitality operations (e.g. POS, member platforms, booking tools)
AV or IT certifications (e.g. CTS, CompTIA A+, Microsoft Certified, etc.)
Awareness of cybersecurity principles and data protection best practices
Basic project coordination skills to support refurbishments, equipment upgrades, or system rollouts
A proactive, flexible mindset with the ability to switch between long-term planning and immediate support
