The Role:
An opportunity has arisen for an experienced Secretary to join the firm on a six month fixed term contract. The role will involve providing day to day secretarial and administrative support to fee earners within the IP team, as well as supporting the wider secretarial function when required. This position would suit someone with prior experience in an IP or professional services environment who is confident working in a fast paced setting.
Responsibilities:
- Providing comprehensive secretarial and administrative support to fee earners within the IP team
- Managing correspondence including drafting emails, letters and responding to routine communications
- Coordinating diaries, meetings and calls for fee earners
- Acting as a point of contact for clients and internal stakeholders
- Preparing and amending documentation relating to patent and trade mark matters
- Maintaining accurate electronic files and supporting paperless working practices
- Assisting with billing processes including invoicing and updating work in progress
- Using case management systems to manage deadlines, reminders and schedules
- Uploading and retrieving documentation via client portals and internal systems
- Providing cover for colleagues during periods of absence and supporting the wider secretarial team as required
Requirements
- Previous experience in a secretarial role within an intellectual property or professional services environment
- Strong organisational skills with the ability to manage competing priorities
- High level of accuracy and attention to detail
- Confident written and verbal communication skills
- Proficiency in Microsoft Word and Excel
- Experience using IP case management and document management systems is advantageous
- Ability to work effectively both independently and as part of a team
- A professional and proactive approach to work
