Human Resources Specialist, Infrastructure Management Resource Planning Team:
Location: Dublin (Inchicore) (Hybrid working arrangements available, as per Remote Working policy)
Salary: €51,918.61-€57,694.94 (Salary commensurate with suitable Qualification and Experience)
Contract Hours: 36-hour per week.
Contract Duration: Fixed Term leading to permanency.
Annual Leave Entitlement: 20 days per annum, rising to 25 based on service.

ROLE & PURPOSE:- To provide clerical administration support and assistance to the IM Resource Planning Manager in overseeing the employment life cycle to include recruitment and selection, induction and onboarding, promotions and transfers, contract management, and appointments to IÉ regular staff within the IM function.
- The role holder will be required to ensure quality control and best practice application of policies and procedures and provide solutions to enhance the effectiveness of the HR function as required.

- IM Management team - includes Managers/Supervisors & Clerical Support from CCE, SET, IM Operations, IM Safety, IM Finance, IM Commercial
- Chief Medical Officer Department Staff
- Payroll Department Staff
- Pension Department Staff
- All IM Employees
- Have strong administrative experience in order to operate in a continually evolving environment
- Ability to establish and maintain good working relationships with a wide range of people
- Effective communication skills, in order to deal tactfully and sensitively with people at all levels
- Excellent Microsoft Suite knowledge (Word, Excel, PowerPoint)
- Be highly organized and detail orientated with the ability to work on their own initiative
- Knowledge of employment law, and HR practices and procedures
- Certification and experience in administering assessments (Psychometric Assessment Certificate) (All training & upskilling supports will be provided)
- Specific experience in competency-based interviewing
- Familiarity with social media recruiting
- Previous experience within a HR environment
- Excellent Interpersonal & communications skills
- Drive and Initiative
- Customer Service: To provide support to the IM Human Resources team, provide solutions and working on projects to enhance the effectiveness of HR and ultimately customer service within the IM unit.
- Business: Understand the business and ensure that all practices and procedures comply with best HR and modern practice.
- Provide support in the recruitment process as required to include CV Search, candidate screening, candidate communication, interview co-ordination and interviewing applicants.
- Conducting interviews up to supervisory/manager level
- Assist with the selection and scheduling of assessments
- Corresponding with prospective employees in a timely manner
- Corresponding with recruitment agencies
- Act as liaison between candidates and hiring manager
- Scheduling pre-employment and pre appointment medicals
- Maintenance of various tracking systems in respect of all HR processes e.g Recruitment, Contract Management
- Schedule and conduct exit interviews
- Schedule and conduct feedback interviews
- Issue and track completion of probation reviews
- Providing employee contracts/offer letters for new employees
- Providing employee contracts/offer letters for internal promotion
- Conducting references, and background checks for new employees
- Maintenance of the job description tracking system and update job descriptions as required
- Produce and submit reports on general HR activity
- Assist in the delivery of HR Projects
- Prepare all documentation required for the payroll input of New Hires, Internal Promotions and Appointments to regular staff.
- Liaise with the IM HR Services team on matters relating to the payroll input of New Hire, Internal Promotions and Appointments to regular staff and deal with queries.
- Keep up to date with employment legislation
- Administrator for work permits
- Administrator for HCM Recruitment and on boarding modules
- To track and monitor all phases of the apprenticeship programme for IM apprentices
- Liaise with the Talent Management team on matters relating to IM Graduates
- Engage with improvements in systems and methods to meet the changing business dynamic
- Responding to internal and external HR related inquiries or requests and provide assistance
- Ensuring security and maintaining confidentiality with the Team
- Provide cover within the IM HR Team and the broader HR Team if required.
- Any other duties deemed necessary both now and, in the future, to meet business needs
- Ensure employees are dealt with in a professional manner.
- Ensure internal and external HR related inquiries or requests are dealt with in a timely manner.
- Assist with Manpower reports as required.
