Job Description

Job Title: HR Assistant/PA to the Headteacher

Hours: 17.5 hours per week

Reporting to: Operations Manager/The Headteacher

Contract type: 08:00 to 12 noon Mon to Fri - Term time only

Main purpose:

As the HR Assistant, you will play a key role in ensuring HR processes run efficiently and in line with school policies and safeguarding requirements. You will manage HR administration, support recruitment processes, and maintain accurate staff records.

Duties and responsibilities:

Human Resources

  • Maintaining accurate and confidential HR records e.g. staff files, contracts, DBS, absence records.
  • Supporting the recruitment process including preparing job adverts, collating applications,arranging interviews, and onboarding.
  • Processing starters, leavers, and contract variations.
  • Assisting with the administration of payroll changes and liaising with payroll providers as necessary.
  • Supporting induction and training records for staff.
  • Managing staff absence returns and maintaining the Single Central Record (SCR).
  • Assisting in staff communications and providing general HR-related advice and support under the guidance of the Operations Manager.
  • Ensuring HR processes and data handling comply with safeguarding, confidentiality, and 0GDPR policies.

Personal Assistant (PA)

  • Manage the Headteacher's diary, ensuring effective communication and coordination.
  • Maintain staff supervision records and ensure they are carried out on time.
  • Provide comprehensive administrative support to the Headteacher.

General Administration

  • Respond to telephone enquiries, directing queries appropriately to relevant staff members.
  • Handling reprographic tasks and providing general administrative support within the school office.

Other Duties/Responsibilities:

  • Be a proactive member of the Operations team.
  • Attend staff meetings, appraisals, and professional development activities.
  • Support general office administration duties as appropriate to the post.
  • Contribute to whole school development plans and maintain high standards in daily duties.

Qualifications, Knowledge and Skills:

  • A good standard of general education (GCSEs & A-Levels) or relevant vocational qualifications.
  • Previous experience of working in an educational setting (desirable but not essential depending on experience).

Knowledge and Skills:

  • Discretion and ability to maintain confidentiality in all HR matters.
  • Understanding and commitment to safeguarding and data protection.
  • Excellent analytical and data extraction skills.
  • Ability to manage pressure and maintain a positive, solution-focused attitude.
  • Strong numeracy and attention to detail.
  • Ability to take initiative and manage workload independently.
  • Strong interpersonal and team-working skills.
  • Excellent organisational skills with the ability to prioritise effectively.
  • Integrity, professionalism, and commitment to the school's vision.
  • Prior experience in finance and administration (education sector experience desirable). • Proficiency in accounting software (FMS desirable), and Microsoft Office (Excel, Word, Outlook).
  • Experience using HR systems or databases desirable but training can be given.
  • Strong written and verbal communication skills.
  • Understanding of HR policies and best practices.
