Group Secretary
Location: Belfast
Contract Type: Permanent, Full-Time, 37 hours per week
Salary: £37,000 per annum
Bonus: Opportunity to earn a 6-9% annual performance bonus
About the Opportunity
Apple Recruitment is delighted to be recruiting on behalf of a highly respected and well-established Northern Ireland organisation operating within a regulated environment.
We are seeking an experienced and professional Group Secretary or Personal Assistant to provide high-level executive support to the Chief Executive Officer and Senior Leadership Team. This is a pivotal role requiring exceptional organisational skills, discretion, attention to detail and the ability to manage multiple priorities within a fast-paced corporate environment.
This opportunity would suit an experienced Executive Assistant, Personal Assistant, or Group Secretary who thrives in a senior-level support role and enjoys working closely with key decision-makers.
The Role
Reporting directly to the Chief Executive Officer, you will be responsible for ensuring the smooth and efficient operation of the executive office, providing comprehensive administrative, organisational and governance support.
- Executive Support
- Provide full PA and executive support to the CEO, including diary management, correspondence and meeting coordination.
- Manage a complex and changing schedule, ensuring priorities are effectively organised.
- Prepare and coordinate materials for board meetings, leadership team meetings and executive forums.
- Take accurate minutes and ensure timely circulation of meeting actions and documentation.
- Screen calls, emails and correspondence, responding appropriately and escalating where necessary.
- Manage complex travel arrangements, including national and international travel, accommodation and itineraries.
- Corporate Governance
- Coordinate board and committee meeting schedules.
- Prepare agendas, board packs and supporting documentation.
- Maintain confidential corporate records, governance files and board documentation.
- Liaise with non-executive directors and provide administrative support as required.
- Assist with Annual General Meeting administration and preparation of corporate documentation.
- Ensure governance records are maintained accurately and confidentially.
- Stakeholder Management
- Act as the primary point of contact for the CEO's office.
- Build and maintain professional relationships with internal and external stakeholders.
- Coordinate communication between the executive office and departments across the organisation.
- Represent the executive office professionally and maintain the highest standards of confidentiality and professionalism.
- Office Management & Project Support
- Manage administrative systems and processes to ensure operational efficiency.
- Coordinate hospitality, meeting arrangements and corporate events.
- Process expenses and maintain accurate executive office records.
- Provide support to senior executives as required.
- Conduct research and prepare presentations, reports and briefing papers.
- Assist with strategic projects and business initiatives.
About You
We are looking for:
- Minimum 5 years' experience as a Personal Assistant, Executive Assistant or similar role supporting senior executives or C-suite leaders.
- Previous experience supporting board meetings, executive committees or governance activities.
- Strong understanding of corporate governance principles and administrative best practice.
- Experience working within a regulated, corporate or complex organisational environment.
- Demonstrated ability to manage highly confidential and sensitive information.
- Exceptional organisational and time-management skills.
- Outstanding written and verbal communication skills.
- Advanced Microsoft Office skills, including Word, Excel, PowerPoint and Outlook.
- Strong attention to detail and commitment to accuracy.
- Excellent interpersonal and stakeholder management skills.
- Ability to work independently, exercise sound judgement and use initiative.
- Professional, polished and adaptable approach with the ability to remain calm under pressure.
