Grade VI Project and Programme Support Officer

CREGG are seeking an organised and proactive Grade VI Project and Programme Support Officer to join our client, based in Dublin 18. This is a full-time position working onsite five days per week, on a contract until the end of 2027.
Role Summary: The successful candidate will provide management support within the Programme Management Office (PMO) and to IFMS (Integrated Financial and Procurement Management System) P roject Teams in ensuring the IFMS Project adheres to the agreed project controls, management processes, and ways of working. You will be a key liaison and support in such areas as, but not limited to, document management, system access, project management tools, reporting, governance, risk management, and communications/correspondence.
The position of Grade VI Project and Programme Support Officer encompasses both managerial and project administration responsibilities which include the following:
Project Management
- Provision of project support to the IFMS Project and wider FRP Programme as required.
- Monitoring and reporting - gather and analyse programme information and draft programme reports to facilitate programme reporting to PMO Management, Project Teams, and/or Programme Governance.
- Support in the development, application and continuous improvement of Project Management tools and processes.
- Ensure Project Management Tools are kept up to date. Maintain programme/project tools and templates.
- Provide support to project teams in the use of programme management processes, tools, templates, and IFMS ways of working.
- RAID (Risks, Assumptions, Issues, Dependencies) Documentation - Documenting, maintaining, and updating the RAID registers for IFMS Project. Including, engagement with IFMS Project Teams to ensure RAID registers are kept up to date.
- Quality Assurance - tracking and reporting on individual projects against plans.
Administration
- Implement efficient Document Management System in line with the ways of working and processes for the IFMS Project.
- Provide secretariat support for governance and project meetings and attend as required.
- Ensure the efficient management and administration of area of responsibility.
- Ensure deadlines are met and that service levels are maintained.
- Ensure line management is kept informed of issues arising.
- Ensure that stakeholders are kept informed and that their views are communicated to management.
Customer Service
- Build effective relationships with key IFMS stakeholders and governance members.
- Promote and maintain a client-driven environment by ensuring service users /customers are treated with dignity and respect.
- Seek feedback from service users/customers and implement change to incorporate same, in agreement with Line Manager.
Human Resources / Supervision of Staff
- Manage the performance of staff, dealing with underperformance in a timely and constructive manner.
- Ensure an even distribution of workload amongst the team, considering absence due to annual leave etc.
- Supervise and ensure the wellbeing of staff within own remit.
- Create and promote a positive working environment among staff members, which contributes to maintaining and enhancing effective working relationships.
- Identify and agree training and development needs of team and design plan to meet needs.
- Pursue and promote continuous professional development to develop management expertise and professional knowledge.
Service Delivery and Service Improvement
- Ensure accurate diligence in own work and work of team
- Maintain a good understanding of internal and external factors that can affect service delivery including awareness of local and national issues that impact on own area.
Standards, Policies, Procedures & Legislation
- Contribute to the development of policies and procedures and ensure consistent adherence to procedures and current standards within area of responsibility.
- Maintain own knowledge of relevant policies, procedures, guidelines, and practices to perform the role effectively and to ensure standards are met by own team.
Skills and Qualifications:
- Demonstrated experience in leading or supervising staff within a PMO or administrative environment.
- Experience supporting governance structures and producing high-quality reports for senior stakeholders .
- Maximise the use of ICT, demonstrating excellent computer skills in the Microsoft Office suite.
- Working knowledge of Project Management Software and tools e.g. Cora PPM, Project Vision, MS Project, Micro Focus PPM etc.
- Demonstrates knowledge and experience relevant to the role as per the duties & responsibilities, eligibility criteria, and post specific requirements of the role.
