Job Description
Job Details
  • Location: Primarily at Crofton Health Centre with occasional work at Sharlston branch.
  • Hours: Part-time, 32 hours per week, Monday to Friday, 8:00-18:30, with a specific schedule.
  • Reports to: Administration Manager and Senior Receptionist.
Job responsibilities
  • Answer all calls promptly and direct callers to the correct service following practice protocol.
  • Receive patients consulting with members of the practice team and direct them to the appropriate health care professional.
  • Process appointment requests from patients by telephone and in person.
  • Deal with visit requests.
  • Process repeat prescription requests following practice guidelines.
  • Promote services to patients.
  • Handle and complete queries and enquiries as per the practice protocols.
  • Sort post.
  • Replenish stationery.
  • At the end of the day, check surgeries, replenish stock, and ensure all areas are clean, tidy, and ready for the next day following practice protocols.
  • Maintain building security in accordance with CQC guidelines.
  • Perform any additional tasks allocated by Senior Administrators or the Practice Manager.
Professional Responsibilities
  • Maintain confidentiality and protect sensitive patient information as per data protection policies.
  • Assist in promoting and maintaining personal and workplace health, safety, and security in line with the practice Health & Safety Policy.
  • Support equality, diversity and rights of patients, carers and colleagues, respecting privacy and dignity.
  • Participate in training programmes, staff meetings and maintain a record of personal development.
  • Strive to maintain quality within the practice, report issues, assess performance, and suggest improvements.
  • Communicate effectively with team members, patients, carers, secondary care and other agencies, and respond to alternative communication methods when needed.
  • Apply practice policies, standards and guidance; discuss impacts with the team and participate in audits when appropriate.
Experience
  • Previous experience in a customer service or reception role.
  • Experience using IT systems and Microsoft Office (Word, Outlook, etc.).
  • Previous experience working in a healthcare or GP practice setting.
  • Familiarity with clinical system SystmOne.
  • Experience processing prescriptions, appointments, or referrals.
  • Ability to use telephone systems efficiently.
  • Experience handling sensitive or challenging situations with discretion.
Qualifications
  • Good standard of general education (e.g., GCSEs A to C or equivalent).
Skills and Abilities
  • Excellent communication and interpersonal skills.
  • Ability to deal with the public in a friendly, professional, and sensitive manner.
  • Strong organisational and time management skills.
  • Ability to work under pressure and remain calm during busy periods.
  • Ability to multitask and prioritise workload effectively.
  • Respectful of confidentiality and professional boundaries.
  • Aware of the importance of patient confidentiality and data protection.
  • Understanding of the role of a GP practice and the NHS.
  • Aware of medical terminology.
  • Understanding of NHS services and patient pathways.
