ROLES & RESPONSIBILITIES

As Global Office Operations & Community Manager, your role will encompass a broad range of responsibilities designed to ensure seamless operational efficiency and a thriving company culture. Your key duties will include:

Global Office Management

  • Office Management: Lead and manage all aspects of day-to-day office operations, including facilities management, supplier relationships, stationery and consumables, general maintenance, IT infrastructure, telecoms, refreshments, equipment, post, and courier services.
  • Health & Safety Compliance: Support the implementation and maintenance of health and safety assessments as required.
  • Executive Support: Provide high-level Executive Assistant support to the global senior team when needed.
  • Front of House: Deliver a professional and welcoming experience for visitors, both face-to-face and via phone, ensuring a positive first impression.
  • Meeting & Event Coordination: Manage meeting room preparation and availability for both internal and external events.
  • Travel & Logistics: Organise travel, accommodation, and logistical arrangements for team members, including specific programme-related requirements.
  • Finance Administration: Provide basic processing and administrative support to the finance department.
  • Supplier Management: Provide administrative support to the wider teams in managing supplier relationships.
  • Problem Solving & Process Improvement: Proactively identify and address potential operational challenges, suggesting improvements to ensure efficient delivery.
  • Ad-Hoc Support: Take on additional tasks and responsibilities as reasonably required by the business.

Community Management

  • Onboarding & Offboarding: Assist with HR processes
  • Onboarding: Oversee the employee onboarding process, ensuring new team members have a seamless start, including kit allocation, system setup, training coordination, and introducing them to the company culture.
  • Offboarding: Manage the offboarding process with care and professionalism, including collecting company assets, revoking access, and ensuring a positive departure experience.
  • Employee Journey: Support the full employee lifecycle by maintaining touchpoints that enhance engagement, productivity, and satisfaction throughout their tenure.
  • Training & Development: Designing, building and coordinate training and development activities as identified.
  • Culture & Engagement: Play a key role in delivering the company's social programme, driving employee engagement, and fostering a positive, inclusive workplace culture.
  • Strategic Awareness: Maintain an understanding of the internal and external factors impacting the business, contributing valuable insights.
  • Team Development: Foster a collaborative and nurturing work environment, supporting team members in achieving their full personal and professional potential.

By effectively managing these responsibilities, you will ensure smooth operations, support the operations team on key projects, provide essential cover when needed, and maintain compliance. You will also focus on tracking and measurement to provide data-driven insights that inform decisions and drive continuous improvements across the business.

REQUIREMENTS & SKILLS

  • 1-2 years' experience in a commercially focused customer service role preferably within an agency
  • Pro-active growth mindset capable of foreseeing issues and dealing with resolution without significant management supervision
  • Well-developed interpersonal skills and experience in interacting and building trusted relationships with stakeholders at all levels.
  • A first-class listener and communicator, with a willingness to confront issues and make decisions.
  • Commercially savvy approach with a demonstrable financial and problem solving acumen.
  • Strong project management skills with dedication to timelines
  • Numerate with some exposure to financial systems and processes
  • Honed project management skills including time management and a high attention to detail.
  • Excellent communication, negotiation and presenting skills.
  • Ability to work as a team with senior stakeholders
  • The ability to work independently with a pro-active attitude

SALARY AND BENEFITS

This role offers a salary between £28,000 - £30,000 depending on experience. We are looking for someone to start as soon as possible. This role is a full time, permanent position and works within our current hybrid working structure, where you will be expected to work within our office in London at a minimum 4 days per week.
