Position Description

As a GEM Manager, you will be responsible for ensuring the on time delivery of equipment components globally, managing the order timing objectives and reports, and supervising a team of indirect reports. You will also work closely with the client to handle any requests for orders and alterations. Additionally, you should be able to work independently and as part of a team and handle multiple projects simultaneously. This role will have several indirect reports supporting overall account goals. This is a specialized role requiring the exercise of discretion and independent judgment of matters with major financial impacts on the client.

Responsibilities / Essential Functions

The GEM Manager is a contributor to the overall ordering process in GEM by:

  • Developing an expert understanding of the GEM management role so as to provide the site Project Managers with independent assessments of a shipment's status and ability to meet deadlines.
  • GEM managers help define the culture of GEM both internally and externally; therefore, GEM Managers are expected to act professionally and to promote the GEM Vision both internally and externally.
Vision
  • Allow project teams to focus on execution while we focus on end to end procurement of equipment and services, providing systems to ensure full compliance, governance, and stewardship while maintaining agility to meet individual needs of our customers.
  • GEM Managers act as mentors to other GEM team members and provide coaching and support to others.
  • On occasion, GEM Managers may be asked to lead continuous improvement initiatives.
Project Initiation
  • Introductions - GEM Managers to Project Team and/or Project Team to GEM
  • Completion of Project Purchasing Procurement Questionnaire
  • Establish communication plan and frequency (weekly conference call, F2F project review, etc.)
  • Represents GEM in Global Sourcing Strategy Studies, as requested.
Project Execution
  • Deploys Global Sourcing Strategy & Execution Plan to GEM team.
  • Leads project execution to deliver value to P&G while maintaining compliance with P&G Legal, stewardship, and compliance protocol. The GEM Manager is to ensure all purchasing, procurement, logistics, VAT (value added tax), payment, and finance SOPs are adhered to.
  • Performs analysis on "what if" scenarios and provides comprehensive data to P&G for consideration and decision making.
  • Actively participates in project reviews and technical scope reviews to remain current on scope changes.
  • Analyzes the impact of scope changes related to their impact on supplier delivery dates. Works to ensure timely and accurate PO placement and PO alterations, in accordance with the project OSS (Order Specification Sheet).
  • Acts as the single point of contact between Project team and GEM Team. The GEM M acts as the representative of GEM to the project team and is responsible to follow up, internally, to deploy project's requests, gather updates, and report GEM team progress back to the Project Team.
  • Responsible for ensuring the ESM (Equipment Status Memorandum) is updated.
  • Works with the GEM Vendor Managers to ensure expediting activities are underway to eliminate late deliveries, works to ensure shipments are happening on time, and plant POs are in place to enable on time shipment.
  • Supports GEM Vendor Managers, customs brokers, and plant receiving contacts to resolve any importation or delivery problems.
  • Leverages the use of GEM homogeneous equipment to satisfy project needs.
  • Coordinates the allocation of CWIP from one project to another or one plant/line to another, as necessary to support the project schedule.
  • Ensures GEM team has the latest information and requirements for successful international shipment and importation.
  • Obtains delivery confirmation from receiving site or GEM freight forwarder and updates the GEM system, accordingly.
  • If goods are damaged during transportation, the GEM Manager is responsible to gather all shipment documentation, documentation of damage, and initiate a claim with P&G's Insurance broker, Marsh, in accordance with P&G's Goods in Transit policy.
  • When needed, the GEM Manager makes manual modifications to the PGD Commercial Invoice and ensures the updated document accurately reflects the sale and import criteria and routes the invoice to GEM's Global Freight Forwarder and Project Accountant and Project Close out.
  • Responsible for ensuring all costs incurred on a GRA (Global Replenishment Authorization) account are reimbursed by the receiving project.
  • Supports the Vendor Manager team to resolve supplier payment issues, as needed.
  • Leads the credit and correction process for any GEM Commercial Invoice that needs adjustment after the initial cross charge transaction.
  • Reconciles charges on the GRA WBS to the project ESM whenever discrepancies are identified and works with GEM leadership to resolve the discrepancy.
  • Supports P&G leadership by ensuring GEM data used for forecasting is accurate and ensure timely updates, as needed.
Qualifications
  • At least a bachelor's degree or 7 years of experience in project management, contract management, or procurement.
  • Proficient in Microsoft Office.
  • Ability to quickly learn and work with customer utilized software such as Coupa and the GEM Database.
  • Ability to engage Project Management activities without oversight while meeting customer/project KPIs.
  • Experience in Account Management.
  • Ability to manage/lead indirect teams/reports.
  • Knowledge of industry best practices and standards for vendor management.
  • Ability to establish and maintain positive and professional relationships with vendors and internal stakeholders.
  • Strong negotiation, problem solving, and decision making skills.
  • Attention to detail, accuracy, and quality.
  • Excellent verbal and written communication skills.
