Fleet Administrator

Location: Leatherhead
Hours: 21 hours per week (part-time)
Pay: £14.28 per hour
Contract: Permanent

The Role

We are looking for an organised and proactive Fleet Administrator to support the management of a fleet of approximately 70 vehicles. Working closely with the Operations Manager, you will ensure vehicles are maintained, compliant, and available for employees across multiple regional locations.

This is a varied administrative role requiring excellent attention to detail, strong communication skills, and the ability to manage multiple priorities.

Key Responsibilities

  • Act as the main point of contact for vehicle-related queries, including accidents, breakdowns, fines, and driver enquiries.
  • Maintain accurate fleet records, vehicle documentation, and driver information.
  • Produce and distribute monthly fleet reports, including mileage and compliance data.
  • Manage annual driver licence checks and support insurance renewal processes.
  • Liaise with leasing companies, garages, and suppliers to arrange servicing, repairs, and maintenance.
  • Process fleet-related invoices and maintain accurate records.
  • Administer fuel cards and company car documentation.
  • Coordinate vehicle deliveries, replacements, collections, and end-of-lease returns.
  • Arrange hire vehicles when required.
  • Monitor vehicle inspections, telematics systems, and dashcam compliance.
  • Ensure fleet activities comply with company policies, GDPR, and relevant legislation.

About You

  • Previous administration experience, ideally within fleet, transport, logistics, facilities, or operations.
  • Strong organisational skills with excellent attention to detail.
  • Confident communicator with the ability to build relationships with suppliers and colleagues.
  • Proficient in Microsoft Office, particularly Excel.
  • Able to prioritise workload and work independently.
  • A proactive and professional approach to problem-solving.
