Job Description
Overview

We are looking for a detail oriented and proactive Fleet Administration Specialist to join our team. You will play a key part in our fleet operations by managing essential vehicle administration, including processing PCNs, handling registration documentation, coordinating total loss claims, and managing safety recall notices.

Location & Hours
  • Location: Based in our London office 5 days a week
  • Hours: Mon Fri, 9 5.30
Responsibilities
  • PCN Management: Deal with inbound postal and digital PCNs, log and process them quickly and efficiently; problem solve on PCN queries to resolve issues smoothly for drivers.
  • Vehicle Documentation: Ensure all vehicle records and registration documents are accurately maintained, updated, and securely archived or disposed of when necessary.
  • Insurance & Total Loss Coordination: Seamlessly guide vehicles through the total loss administrative process from start to finish; compile regular, insightful reports for key stakeholders.
  • Safety Recalls: Monitor manufacturer safety recalls across the fleet; communicate these to the right people and ensure the necessary vehicle fixes are completed with appropriate driver support.
  • Team Support: Cross departmental teamwork helping investigate queries, prepare vital vehicle documents, tackle data entry tasks, and assist with various logistical challenges and administrative tasks as they arise.
Requirements
  • Admin Pro: Proven experience in a data entry or administrative role where precision is paramount.
  • Fleet Savvy: Experience in a vehicle or fleet administration role is desirable.
  • Organization Guru: Ability to juggle multiple tasks without dropping the ball.
  • Top Tier Communicator: Excellent written and verbal communication skills.
  • Self Starter: Ability to work independently, take initiative, and hit the ground running with minimal supervision.
  • Precision Driven: An absolute commitment to accuracy.
