Job overview

Working as part of the fibro scan team the role will involve providing high quality admin and clerical support the community clinics that form a key part of the service. The post holder will need to use their initiative and skills to develop processes and ensure the effective provision of a quality service.

In undertaking this role, the employee will be expected to behave at all times that is consistent with and actively supports the Trust values.

Main duties of the job
  • Be responsible for booking new and follow up appointments for the community and GP referred clinics using Nervecentre or any other relevant electronic booking systems arrange appointments for new and follow up clinics.
  • Deal appropriately with enquiries, by telephone, email and in person, from staff and the general public, seeking advice or referring elsewhere if necessary.
  • Manage the demand and capacity within the standard operating practice taking decision to escalation to the Community Liver Co ordinator any capacity issues.
  • Managing the national choose and book system (E Referral Service) referrals.
  • Ensure all referrals are logged and booked in a timely manner meeting the standards in the NUH Access Policy.
  • Print appointment/procedure confirmation letters as necessary and send to patients with the relevant information leaflets promptly.
  • Notify Community Liver Co ordinator or designated person of any patients who fail to attend their appointment who will take necessary action in line with department and/or Trust policies.
  • Be able to competently use Medway PAS and other information technology.
Training & Qualifications
  • 5 GCSE's or equivalent at Grade C or above - must include English.
  • NVQ level 3 in administration or equivalent ECDL or equivalent
Experience
  • Experience of using Microsoft Office, Outlook and Excel.
  • Demonstrates understanding of patient / client confidentiality.
  • Can complete letters, forms, reports and tables using computerised technology from information collected.
  • Managing enquiries from patients and other clinical staff via telephone and in person.
  • Previous experience of working in the NHS and experience using Winscribe, Web Hiss, Nervecentre and Notis.
  • Understanding of Medical Terminology.

  • Uses correct grammar and spelling.
  • Must be able to clearly and accurately convey information gathered from both verbal and documented reports in writing and verbally.
  • Friendly and professional telephone manner.
  • Maintain confidentiality, sensitivity and empathy in communication with all contacts both in and out of the Trust.
  • Understanding and helpful to patients and colleagues.
  • Excellent written and verbal communication skills.
