Job overview

The Receptionist role is responsible for providing an effective and welcoming reception service for Haematology & Oncology patients, relatives and other visitors attending the Fernhurst Centre for both the Day Unit and Outpatient areas.

They will manage patient flow by attending patients and preparing paperwork for future clinics. The post holder will work as part of the wider Haematology and Oncology Teams to support and contribute to a caring and efficient service.

Detailed Responsibilities
  • Book patients for appointments.
  • Prepare clinic paperwork.
  • Perform other ad hoc administrative duties.
  • Receive, admit and discharge patients using the patient administration system.
  • Receive and make telephone calls on behalf of the unit, referring as appropriate.
  • Collect essential information and communicate with staff.
  • Use IT and electronic clinical systems within the department, keeping information up to date.
  • Order supplies and equipment using Integra at the direction of the unit Manager.
  • Interact daily with patients face to face, by letter, or via telephone.
  • Deal with telephone enquiries, arranging appointments.
  • Handle difficult situations with worried or distressed patients or visitors.
  • Workload is supervised.
  • Undertake clerical duties relating to documentation for patients.
  • Make further follow up appointments and transport arrangements as directed by nursing/medical staff.
  • Perform other clerical duties such as photocopying, scanning, sending emails as delegated.
  • Resolve patient queries regarding appointments or transport.
  • Ensure patient details are accurate, check IT system and paper records.
  • Maintain confidentiality of information about patients, staff and service.
  • Participate in Improvement Huddles to identify potential improvements.
  • Report all incidents/accidents involving patients and staff to the RN and assist in enquiries, completing incident report/Datix.
  • Support trainees, apprentices and learners.
  • No line management responsibility.
  • Provide a caring, efficient and helpful service to patients and visitors.
  • Assist with investigations into complaints.
  • Attend mandatory training updates as required.
  • Undertake training as required for development.
  • Achieve and demonstrate agreed standards of personal and professional development.
  • Identify training needs and jointly plan with line manager.
  • Participate in the Trust's appraisal process to discuss role contribution.
  • Flexibly undertake other duties consistent with role and banding, including project work, internal job rotation, and absence cover.
Skills and Experience
