Introduction

We are looking for a Facilities and Fleet Manager to manage company facilities and ensure optimal functioning of facilities on a daily basis. Oversee Fleet and Security to ensure optimal operational efficiency, cost-effectiveness, and compliance with safety regulations for business requirements.

  • Planning and coordinating all installations and refurbishments
  • Managing the upkeep of equipment and supplies to meet health and safetystandards
  • Inspecting buildings structures to determine the need for repairs or renovations
  • Preserving the good condition of infrastructure and ensure that facilities aresafe and well-functioning
  • Plan and coordinate all installations (telecommunications, heat, electricity etc)and refurbishments
  • Review utilities consumption and strive to minimize costs
  • Control activities like waste disposal, building security, etc
  • Allocate office space according to business needs and managing officerelocations
  • Handle insurance plans and service contracts
  • Manage Service Level Agreements with service providers: Fleet, Security,Insurance, Reunert, etc.
  • Management of Building Insurance and fielding assessments (risk audits andrating) related to insurance matters
  • Advising business on measures to improve the efficiency and cost-effectivenessof the facility
  • Supervising teams including external contractors
  • Ensuring that basic facilities are well-maintained and conducting proactivemaintenance
  • Dealing with emergencies as they arise, water outages, loadshedding ,ect
  • Ensuring that facilities meet compliance standards and government regulations
  • Planning for the future by forecasting the facility's upcoming needs andrequirements
  • Ensuring employee and facility safety
  • Drafting maintenance reports.
  • Managing Facilities Security clearance process
  • Ensure achievement of all non-financial KPIs in area of responsibility
Fleet Management
  • Optimal management of the Service Level Agreement with the Fleet ServiceProvider
  • Managing vehicle acquisition, disposal, and lifecycle
  • Scheduling and overseeing routine vehicle maintenance by continuous liaisonwith the Fleet management company
  • Monitoring driver performance and safety compliance
  • Optimizing fuel consumption and costs
  • Analyzing fleet data to identify trends and cost-saving opportunities
  • Budgeting and cost control for fleet operations
  • Dispatching vehicles and managing routes
Security Management
  • Engage with Landlord on security matters
  • Engage with park security on incidents, security trends, visitors and contractoraccess to park
  • Analyse building security for possible compromises and recommendimprovements
  • Draft security reports
  • Manage and monitor security alarms system
  • Manage and monitor access control system
  • Manage and monitor CCTV system
  • Relevant tertiary qualification (ie. Transport management, Logistics or related field.)
  • Project Management qualification and training highly advantageous
  • Management and leadership development programme (highly advantageous)REQUIRED CAPABILITIES &
COMPETENCIES:
  • Proven experience as facilities manager
  • Well-versed in technical/engineering operations and facilities management practices
  • Minimum 5 years of experience in fleet or logistics management and the insuranceportfolio
  • A comprehensive understanding of the Fleet and Security environment (includingSecurity clearances)
  • Strong understanding of South African road and traffic laws, including AARTO
  • Sound experience managing building projects
  • Knowledge of basic accounting and finance principles
  • Excellent verbal and written communication skills
  • Excellent organisational, planning and leadership skills
