LondonEnergy operates the second largest waste contract in the UK, handling and processing nearly 750,000 tonnes of London's waste every year. We have a dedicated team of people working across our various North London sites, making a positive difference to the environment and the local community.
By processing household waste at our facility, we produce enough waste from energy to power 80,000 homes every year and recycle 70% of items through our Reuse and Recycling Centres.
About the roleAs a Facilities & Estates Administrator, you will provide essential administrative support across the Facilities & Estates function. Working closely with the Real Estates Manager, Supervisors, and Contracts Support, you will help ensure smooth day-to-day operations, effective contractor management, and accurate record keeping across multiple sites.
Responsibilities- Support the administration of Facilities & Estates contracts, including maintaining documentation, onboarding contractors, and preparing renewals
- Assist in monitoring contractor performance against KPIs and service level agreements, ensuring standards are met
- Maintain accurate records including contract files, service reports, compliance documentation, and communication logs
- Raise purchase orders, track invoices, and support financial and procurement processes using internal systems such as D365
- Coordinate planned and reactive maintenance activities, ensuring schedules are up to date and works are completed on time
- Support compliance activities, including tracking RAMS, permits, training records, and assisting with incident and audit follow-ups
- Provide general administrative support, including scheduling meetings, booking visitors and parking, and supporting minor projects and initiatives
- Previous experience in an administrative role, ideally within facilities, estates, or an operational environment
- Strong organisational skills with the ability to manage multiple tasks and maintain accurate records
- Good communication and interpersonal skills, with confidence engaging with internal teams and external contractors
- Proficiency in Microsoft Office, particularly Excel, and experience with systems such as D365 (or similar) is desirable
- Understanding of contract administration, procurement processes, or compliance requirements is advantageous
- Ability to work independently as well as collaboratively within a team environment
- A proactive, detail-oriented approach with strong problem-solving skills and a commitment to safety and quality
