Areas of responsibility
Main tasks:
- Coordination of all aspects of the permits and logistics of biological materials and reagents supply according to agreed service levels and/ or terms and conditions as well as complying with all applicable legal requirements, including ADR and IATA guidelines and dual use regulation (EN 2021/821). Assure updates and changes to the guidelines are translated into operational changes
- Responsible for the execution of the export shipments for biological materials and reagents from our facility in Leiden to the customer as well as supporting the export of technology through electronic means.
- Responsible for follow up on the right Logistics and Service priorities in the biological material supply chain with the different project teams, facilities, and the rest of the organization.
- Coordinating the shipment team for biological materials and reagents. Documentation preparation of shipments and regulatory questions in case required.
- Ensuring, for the different project teams, accurate shipment processing from start to final invoicing and booking of the shipment for biological materials and reagents.
- Provide hands-on pro-actively information, feedback, and support regarding export services to the project teams.
- Applying for and processing export permits, CITES permits and dual use permits, where necessary and supporting the project team in the following up of permit obligations and administration
- Taking ownership of organizational inquiries through to completion including resolving issues quickly and efficiently in a courteous and ethical manner.
- Capture, report, escalate and ensure timely response and resolution to all services, permits applications and biological material shipments.
- Provide hands-on standardized professional communication in writing and spoken to internal and external customers regarding support of all processes in permits applications and biological material shipments.
- Audit shipment documentation and implement changes in procedures if required.
- Support in the compulsory annual transportation report
Additional tasks:
- IATA Dangerous goods specialist (A-approval certified)
- Ensuring Batavia passes the audit by IL&T and becomes an A-approval holder and subsequently maintain the A-approval holder status.
- Responsible for verifying and checking all packaging, labeling and documentation for national and international category A shipments.
- Completing the IATA dangerous goods declaration
- Give training to employees regarding shipment compliance.
- Support in audits at shipment companies
Professional requirements
- 2 or more years' experience in working in exports in an international setting, preferably in a Supply Management and/or Export/Distribution setting
- Knowledge MS Office
- Knowledge and experience with international Business and Export Processes
- Knowledge and experience with Export documentation (like Cites, export and dual-use permits)
- Incoterms
- Fluency in Dutch and English
- Good communicator in writing and verbal
- Hands-on
