Role OverviewThe Executive Administrator will manage complex executive calendars, coordinate international travel, oversee expense reporting, and support internal communications. This role requires a high level of discretion, judgment, and the ability to anticipate needs and act independently.
Key Responsibilities Executive & Calendar Management- Manage C suite calendars across global time zones
- Prepare agendas, briefing notes, and follow ups for meetings
- Track milestones and dependencies to support decision making
- Ensure executives are briefed and aligned with key initiatives
- Plan international travel, including visas and compliance
- Reconcile expenses and manage executive budgets
- Prepare travel summaries and reports
- Maintain CRM/ERP systems (e.g., HubSpot)
- Ensure version control and data accuracy
- Manage executive documentation and shared platforms
- Oversee administrative systems and vendor relationships
- Support remote team meetings and leadership sessions
- Improve workflows and communication systems
- Draft internal announcements and executive correspondence
- Coordinate cross functional deliverables
- Represent the executive office professionally
- 4+ years of executive administrative experience in remote settings
- Expertise in calendar management and international logistics
- Proficiency in Microsoft Office, Zoom, Slack, Teams, Asana
- Experience with CRM/ERP systems (e.g., HubSpot)
- Strong organizational and communication skills
- Ability to work independently and across time zones
- Experience in healthcare, nonprofit, or mission driven organizations
- Familiarity with global operations and multi currency coordination
