The Company
This is a boutique creative design agency specialising in immersive brand experiences, hospitality installs and bespoke exhibition builds. The majority of their work sits at the premium end of global motorsport, alongside a growing exhibitions portfolio spanning major international shows. Business is strong and expanding, with new long-term contracts recently added and the team actively growing to match. Creative, production, account and warehouse functions all sit in-house, giving an Event Project Coordinator genuine exposure to every discipline from day one.
The Role
The Event Project Coordinator role supports the delivery of projects across the full client portfolio, working closely with account and production teams to keep documentation, timelines, budgets and supplier communications running smoothly from brief to on-site wrap.
- Support broader teams across client services and delivery
- Work closely with clients; attending client briefings and meetings
- Prepare and maintain budgets, timelines and status reports
- Liaise with suppliers to gather quotes, confirm bookings and track costs
- Coordinate internal workflows and ensure information is filed correctly
- Collaborate with internal departments including creative and production
- Assist with on-site delivery including setup coordination and supplier liaison
- Contribute to post-project reviews and document learnings
The Candidate
You will already have a solid foundation of experience ideally from an agency environment dealing with events, exhibitions or experiential projects, whether through a long term placement, or early agency role. You will be ready to step into an Event Project Coordinator position and take on more responsibility. Strong organisation, sharp attention to detail and confident written and verbal communication are a given; comfort working across multiple stakeholders and suppliers is equally important.
Knowledge of production processes or experience on international events would be beneficial. Applications from candidates coming out of adjacent agency backgrounds, experiential, exhibitions or brand experience, are equally welcome. The main thing is a genuine enthusiasm for the craft and a drive to grow as an Event Project Coordinator.
