We are looking for an enthusiastic, well motivated person to provide administration and secretarial support within Acute Medicine. Excellent written and verbal communication skills are essential, as is the ability to work within a team and use your own initiative. The successful applicant should be computer literate with an understanding of Word, Excel, Outlook, HISS and Nexus. The ability to undertake clinical transcription from digital dictation is required. The successful applicant would be expected to provide cover for the medical secretaries, including answering telephone calls, consultant/doctors admin, emails, post, retrieval of case notes, and filing of clinical correspondence. A flexible, friendly approach is essential to this role.
Main duties of the jobClinical
1. Transcription and production, from audio tape or transcription, of typewritten reports and correspondence, using G2 speech and word processing packages, for the Consultants and their teams. These may include outpatient reports, discharge summaries, operation notes and other relevant clinical and non clinical correspondence.
2. Compose, as required, non routine letters requiring tact, sympathy and understanding, on behalf of the Consultant or medical staff.
3. Where appropriate, ensure letter templates are set up for the Consultant in preparation for his/her completion.
4. Following authorisation by the clinician, ensure that correspondence to GPs and/or other Consultants are dispatched promptly and efficiently.
Blackpool Victoria Hospital, or BVH, as it is known locally, is a medium sized NHS District General Hospital (DGH). The hospital comprises the major element of secondary health care within the wider combined acute and community trust that is the "Blackpool Teaching Hospitals NHS Foundation Trust". The "Victoria" site of the hospital has around 900 beds which provide care for Acute Medicine in its wider terms and DGH Surgical specialties, including among others, General Surgery, Trauma and Orthopaedics, Urology and Gynaecology. There is a Women and Children's Unit including both Consultant lead and Midwife lead maternity care.
Job responsibilitiesThe role of the support secretary is to provide a comprehensive secretarial, administration and information service to the Consultants in respect of their NHS work and to the supporting medical team.
Administration duties: handling of consultant admin; incoming post; typing clinic letters; answering phone calls and email from GPs/general public; radiology reports; general secretarial duties.
- Education of 5 GCSE's grades A-C or equivalent
- A good command of the English Language
- ECDL or IT qualification
- Computer literate with experience of MS office software
- Substantial experience of working in a clerical/secretarial/admin role
- Experience of communicating with the public
- Advanced IT skills with working knowledge of the Trust's PAS and Maxims system
- Medical terminology experience
- Previous NHS experience
- Good literacy and numerical skills
- Excellent organisational skills
- Ability to follow instruction and procedures
- Ability to work unsupervised
- Ability to work under pressure
- Willingness to be flexible to meet the demands of the service
- Diplomatic and tactful when dealing with members of the public
- Efficient and enthusiastic
- Must be able to use own initiative
