Job Description

£37,238 - £44,520 (plus London allowance payable at interview)

Job Overview

This Divisional HQ first line management role reports to the Deputy Director NPS. It leads and manages a team of business administrators to deliver business specific and transactional office based activities supporting the work of the NPS Division.

Responsibilities
  • Manage a team providing full business support services to the NPS Division, including:
    • HR - absence management, vetting, appraisal, reward and recognition registers, gift & hospitality register, training administration, organisational charts, health & safety
    • ICT - change requests, Quantum point of contact
    • Procurement
    • Other - meeting and event administration, public enquiry line, functional mailbox management, general office administration, alert office notifications, divisional complaints register
  • Provide effective support to the NPS Deputy Director
  • Lead, line manage and develop team staff, overseeing performance, coaching, appraisal and development, and addressing performance and conduct issues
  • Liaise with divisional colleagues to understand service requirements, anticipate future demands and develop innovative solutions
  • Oversee workflow, allocate tasks and ensure work meets performance standards
  • Implement administrative systems and procedural changes resulting from new and revised probation policies and procedures
  • Interface with the Shared Service Centre, managing administrative hand offs and touch points
  • Participate in recruitment, selection and induction of new hub staff
  • Act as the local information manager, ensuring compliance with protocol and procedures, and produce management information accurately and timely
  • Undertake ad hoc project work on behalf of the Deputy Director
  • Manage office facilities, maintenance, inventory and repair work, ensuring health and safety compliance (COSHH, risk assessments, display screen equipment reviews)
  • Agree budgets, unit costs and expenditure proposals for programmes of work; advise on financial and resourcing issues
  • Demonstrate leadership in managing staff, addressing complaints, influencing and persuading, and chairing and participating in meetings with appropriate skills
  • Manage own resources and professional development to enhance performance
  • Use information to make critical decisions - collate, analyse and develop systems for reporting and identify trends for action
  • Develop a culture that promotes equality and values diversity, implementing diversity policies and collaborating with the Equalities and Diversity Unit

Technical Requirements
  • NVQ Level 4 or equivalent in a relevant subject (or appropriate practical experience)
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) or equivalent (e.g., Lotus Notes)
Working Arrangements

Hybrid working is available where business needs allow. This flexible form of working blends base location, MoJ sites and/or home. The role is only available in the UK.
