Job overviewThe Medical Specialties Division seeks an Administration Assistant on a 12 month fixed term contract to join the Dermatology Administration Team at University College London Hospital. The successful candidate will support the reception service at Mortimer Market and wider administrative functions within the Dermatology department.
The ideal applicant will be proactive, highly organised, and possess excellent communication and IT skills. They will prioritise their workload, adapt to changing service demands, and provide support to colleagues across the team when required.
Main duties of the jobThe post holder will work closely with a wide range of staff, including administrative and clinical colleagues, nursing and medical teams, allied health professionals, and support workers. The role will serve as a key point of contact for patients, relatives, GPs, external healthcare professionals, and tertiary referrers, both in person and via telephone.
While previous NHS experience is advantageous, it is not essential. Proven experience working in an office environment is a key requirement. The successful candidate must manage a busy and varied workload while maintaining a professional and patient focused approach. Excellent written and verbal communication skills, together with strong interpersonal abilities, are essential.
Although part of the Dermatology Administration Team, this position will primarily support the Dermatology reception, a patient facing area that requires a high standard of customer service and communication.

Person specification Knowledge and Qualifications- Educated to GCSE level or equivalent, with Grade C or above in English and Maths.
- Knowledge of administrative procedures, acquired through training and/or previous experience of working in an administrative environment.
- Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act.
- NVQ Level 3 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.
- Experience of working in a non routine environment, with demonstrable evidence of being able to respond to queries and deal with unpredictable situations as they arise (acquired through experience and/or training to Vocational level 3 or equivalent).
- Experience of working in an administrative environment, with knowledge of a comprehensive range of administrative procedures.
- Ability to make decisions in a constantly changing environment (e.g. patient facing environment) using judgement to deal with queries or escalations where necessary.
- Able to communicate clearly and sensitively with a wide range of patients, in situations where there may be barriers to understanding (e.g. language difficulties, anxious or distressed patients or relatives).
- Able to work independently, managing own workload and prioritising tasks.
- Understanding of the Equality, Diversity and Inclusion and/or knowledge of the NHS obligations under the Equality Act 2010 and the Public Sector Equality Duties. Line managers will elaborate and assess this essential criterion at interview.
