Job Description

Job Title: Contracts Executive

Location: Edgbaston, Birmingham

Salary: £30 - 32,000 DoE

ACES, founded in 2005, is an independent provider of NHS eye care services in the community. We support the NHS, whilst providing patients with the highest standards of clinical care from expert consultant ophthalmic surgeons.

Our group healthcare brands, headed by Optical Express, also includes, sk:n clinics and The Harley Medical Group, are now promoting and providing services to NHS patients, across all brands.

We have an exciting opportunity for a Contracts Executive to join our team based in Edgbaston, Birmingham, supporting the effective management and administration of contracts across our healthcare services.

Job Purpose

The Contracts Executive will report to the Contracts Manager and support the coordination, administration and monitoring of contracts with NHS commissioners and other stakeholders. The role will play a key part in ensuring contractual requirements are met, documentation is maintained accurately and performance information is captured and reported effectively.

Key Responsibilities

Contract Management & Administration

Support the management of NHS and private healthcare contracts, ensuring all documentation is accurate, up to date and aligned to contractual requirements. Maintain contract records, schedules and key documents, ensuring version control and accessibility across the team.

Performance Monitoring & Reporting

Assist in the tracking of contract performance against agreed activity levels and key performance indicators. Collate and prepare data to support internal reporting, commissioner submissions and contract reviews.

Stakeholder Coordination

Act as a point of contact for internal teams and external stakeholders in relation to contract queries, supporting effective communication and timely resolution of issues. Work closely with operational, clinical and finance teams to ensure alignment with contractual requirements.

Data & Systems Management

Maintain accurate records across internal systems, ensuring data integrity and supporting audit readiness. Assist in the preparation of reports, presentations and documentation required for meetings with commissioners and internal governance groups.

Compliance & Governance

Support compliance with contractual, regulatory and organisational requirements, ensuring that processes are followed and evidence is maintained. Assist with audits and reviews, providing documentation and information as required.

Continuous Improvement

Identify opportunities to improve processes, documentation and reporting within the contracts function, supporting efficiency and consistency across the team.

Essential Skills & Experience

  • Experience working in an administrative or coordination role, ideally within a healthcare, contracts or regulated environment.
  • Strong organisational skills with the ability to manage multiple priorities and maintain accurate records.
  • High level of attention to detail and accuracy.
  • Confident using Microsoft Office, particularly Excel and Word.
  • Strong communication skills, both written and verbal.
  • Ability to work collaboratively across teams and build effective working relationships.
