Job overviewProvide clerical and administrative support to the Booking Team within Community & Neurodisability Paediatrics. The role requires competency in general admin, keyboard skills, good communication, and an ability to work well within a team. An ability to understand the need for and maintain confidentiality is essential.
Main duties of the job- Ensure a high standard of data quality, ensuring that patient demographic details are accurate and up to date within our clinical system (EMIS).
- Transfer and book patient records using patient tracers.
- Open and prioritise correspondence (often highly sensitive and confidential) on behalf of the autism team/secretaries/consultants, ensuring urgent correspondence receives prompt attention.
- Distribute relevant correspondence/questionnaires to other health professionals within the Trust, educational establishments and outside agencies.
- Manage incoming referrals for triage, adding to our clinical system for triage by clinicians.
- Send Accept/Reject letters to referrers and families from within our EMIS system.
- Take telephone queries from parents/carers and health professionals.
- Book appointments and assessments for children and young people on the Community Neurodisability Pathway.
- Use of photocopier, fax, and e mail when necessary.
- Attend appropriate training, meetings and education sessions when required.
- Work with managers to review working practices and find solutions to problems.
- Work with managers to improve quality and range of services, with resources managed according to agreed policies and procedures.
- GCSE English and Maths at Grade 'C' or above or equivalent.
- Previous administrative experience.
- Proven ability to manage priorities under pressure.
- Proven ability to produce neat and accurate work.
- Knowledge of IT systems - Word, Excel, email.
- Customer care experience.
- Organisational skills.
- Able to prioritise workload.
- Flexible.
- Adaptable to change.
- Self disciplined and motivated.
- Professional approach to work, in attitude, ethic and dress code.
- Experience in dealing with confidential information.
