Job summary

Provide general administrative support to Greenwich Health to help manage and deliver commissioned health services. Provide diary management support to the Chief Executive and Chief Operating Officers. Support the coordination and management of various meeting/event requests. Generate minutes of all assigned internal and external meetings. Collate meeting papers in a timely manner to ensure meetings can take place effectively and efficiently. Provide a point of contact for the organisation. Engage in the delivery of a variety of project streams, ranging from supporting senior management to taking a lead role depending on size and relevance.

Responsibilities
  • Provide general administrative support to Greenwich Health to manage and deliver commissioned health services.
  • Diary management for the Chief Executive and Chief Operating Officers, liaising with internal and external stakeholders to ensure effective time management.
  • Support coordination and management of internal and external meetings, including contract monitoring, operational and performance monitoring, and maintaining clinical governance.
  • Generate and circulate minutes of all assigned internal and external meetings in a timely manner.
  • Collate and distribute meeting papers in a structured way to ensure attendees receive them in line with the terms of reference for each meeting.
  • Act as a professional and courteous point of access for Greenwich Health to members, the public, stakeholders and partners.
  • Contribute to and circulate regular monthly communications to relevant stakeholders and support marketing and communications processes as required.
  • Provide administrative support to management and the board in carrying out their duties.
  • Provide cross functional support to various areas of the business, including but not limited to quality and safety, service delivery, human resources and finance.
  • Assist the Company Finance Lead with month end payment processes and payroll processes.
  • Assist the board and senior leadership team where needed to ensure forward movement of activities and actions.
  • Undertake any other work appropriate to the level and general nature of the post's duties as required.
  • Provide additional support to other central business functions, including but not limited to HR, Finance and Business Intelligence/Data Analytics.
  • Support the organisation and communication of various events, including well being plans and external stakeholder engagement.
  • Deliver services effectively with a degree of flexibility, performing work not specifically referred to above when necessary.
Person Specification Experience Essential
  • Previous Administrator role
  • Strong IT skills: Microsoft Outlook, Word, Excel, PowerPoint, Internet Explorer/Google Chrome
  • Experience of organising meetings and stakeholder events
  • Knowledge of primary health care
  • Experience of working to a budget
Desirable
  • Knowledge of clinical systems (EMIS/Vision)
  • Experience of performance monitoring
Qualifications Essential
  • The successful candidate must have the right to work in the UK
Desirable
  • Certificate/Qualification in business administration
