Business Support Assistant - Addiction Services

The rolePost is based with NW ADRS Service and will primarily be located in Woodside HCC. The post provides support to front line staff in the multi disciplinary North West Alcohol and Drug Recovery Service across three locations, which provide an assessment and support service to patients with an identified drug or alcohol addiction. Tasks completed by the post holders must be completed efficiently and accurately to ensure operational service can be provided to the patient. Tasks include processing referrals received into the service; updating systems which includes Carefirst; EMIS and DAIS waiting times; typing correspondence in winvoice pro; minute taking; front line reception and answering telephones responding to calls received into the service.
No Band 2 roles are eligible for sponsorship under the Skilled Worker visa or Health and Care Worker visa routes. For Band 3 roles, only posts of 32 hours per week or more may meet eligibility. NHS Greater Glasgow and Clyde (NHSGGC) cannot provide a Certificate of Sponsorship (CoS) for roles that do not meet these criteria, and applications requiring sponsorship will not be considered.
Duration, Location, and Working Pattern- Location based in North West Locality
- Permanent Contract
- Part time position (14.4 hours per week)
- Shift pattern for this post are (Monday to Tuesday)
- Please note the salary is Pro Rata for part time hours.
- Provide a high quality administrative and secretarial service to the multidisciplinary team.
- General typing, correspondence and clinical letters as required, including transcription of audio. Supporting medical/non medical prescribers in regular/urgent communications with GPs.
- Manage diary commitments proficiently, to ensure good time management.
- Deal with telephone and face to face enquiries as received, providing information as required. Direct and prioritise enquiries as appropriate.
- Receive visitors (including patients and members of the public) to the premises in a polite and helpful way in accordance with local procedures.
- Book rooms using electronic or paper formats and ensure that non clinical rooms are set up appropriately.
- To book interpreters as required for clinical appointments.
- Receive and arrange the distribution of mail.
- Process mail for despatch using the appropriate method e.g. internal, royal mail or courier.

- Must show competence in the use of range of computer packages evidenced by experience or formal qualification e.g. ECDL.
- Must show knowledge of working in an office environment and of operation of office equipment and systems. This may be through formal training or work experience.
- Should be willing to participate in short courses or more formal training opportunities to improve skill level e.g. through achievement of SVQ in Administration at Level 2 or 3.
- Requires good command of verbal and written English.
- Requires knowledge of organisation and department gained through prior experience within the organisation, induction or short period of orientation.
- There will be an on going requirement to have a personal development plan agreed with the manager which will include participation in training and development.
