Business Services PA - 6 Month Fixed Term Contract

Business Services provides excellent client care and technical expertise in areas such as Hospitality Services (Front of House, Catering, Communications Centre, Contract Operations & Health & Wellbeing Centre), Document Services (The Bridge, Practice Support, Scanning & Electronic Bibles, Legal Records Management, Document Checking, Document Production, Creative Services, and Reprographics), Engineering, Security, Business Continuity, Real Estate, and Building Fabric & Projects. We deliver seamless services to all clients, supporting both business operations and strategic advisory services, including complex projects like real estate development.
Role PurposeThe role involves supporting the Global Heads within the Business Services department and the wider senior management team. It requires assisting with various activities from a busy team, developing relationships within the senior leadership team in London and globally, and supporting project workstreams. The position demands high organisational intelligence, complex diary management, multitasking, and meeting tight deadlines.
Role and Responsibilities- Manage complex diaries, arrange high-level meetings, and book travel and accommodation.
- Maintain databases accurately.
- Update calendars daily, informing relevant parties of changes.
- Manage schedules, deadlines, and multiple tasks effectively.
- Handle a variety of tasks and adapt to changing priorities while ensuring timely completion.
- Maintain open communication with team members, stakeholders, and project managers.
- Attend meetings, report on actions, and ensure follow-up.
- Work closely with the global senior management team.
- Perform ad hoc administrative duties such as compiling expense reports, managing travel, and organizing events.
- Proven experience as an EA/PA or similar high-level administrative role in a corporate environment.
- Strong problem-solving skills and adaptability to changing priorities.
- Excellent organization and time management skills.
- Strong communication and interpersonal skills.
- Ability to manage multiple tasks and prioritize effectively.
- Proficiency in Microsoft Office Suite and relevant software.
- Proactive, detail-oriented, and capable of working in a fast-paced environment while maintaining high standards.
