Building Safety Administrator

As a Building Safety Administrator, you will provide essential administrative support to the Statutory Compliance Manager on a major investor client contract, ensuring robust documentation for client applications to the Cladding Safety Scheme and accurate tracking of all active Government Funding applications related to Building Safety Defect remediation works.
Main Responsibilities- Maintain and update project records, preserving a full audit trail of evidence and correspondence.
- Liaise with internal and external stakeholders to gather and upload information to the application portal on time, proactively chasing outstanding data.
- Produce monthly internal and application reporting, coordinating delivery to relevant stakeholders.
- Manage records for projects where the client is not the direct applicant, liaising with agents to obtain and log regular updates.
- Handle government funding responsibilities, collating, recording, authorising and passing invoices for payment while updating the portal.
- Maintain accurate Excel trackers for ad hoc reporting and data analysis across remediation stages.
- Ensure customer and asset database data is accurate, updating records as required.
- Report regularly to the Statutory Compliance Manager, escalating delays, missing documentation or emerging compliance risks.
- Review data continually to highlight potential non compliance issues.
- Support continuous improvement of administrative processes, templates and reporting tools to enhance efficiency and data quality.
- Excellent verbal and written communication skills.
- Strong organisational and time management skills, with efficient electronic record keeping.
- Proactive workload management in a high paced, deadline driven environment.
- IT literacy in Microsoft Office, especially a high level working knowledge of Excel.
- High level of accuracy, diligence and data integrity.
- Experience inputting data into systems and reconciling data across different sources.
- Basic data analysis and reporting skills.
- Knowledge of social media awareness and adaptability to new technology and regulations.
- Desire to learn new systems and legislation related to remediation.
- Administrative experience in an office environment.
- Understanding of the Property Management sector, government funding schemes, and legislation, including use of government application portals.
- Experience within regulated or compliance driven processes.
- Well developed organisational skills and ability to work quickly and accurately to meet tight deadlines.
- Proactive approach to tasks, confident assessment of value add opportunities.
- Enthusiastic collaborator with a 'can do' attitude, ownership and accountability.
All roles are subject to an Enhanced DBS check. The position reports to the Statutory Compliance Manager.
