Assistant Bidding Manager

The Assistant Bidding Manager will support the business by planning and managing the bid process and delivering tender responses in line with the company's brand, position, and processes. This is a maternity cover for 12 months, where you will assist the bid lead in translating win strategies and business objectives into compelling, error-free documents and presentations, project managing activities through departmental bid plans, and escalating risks when necessary. You will also coordinate meetings, sign-offs, collate corporate information for proposals, and handle administrative tasks within the Mace Bid Process.
You'll be responsible for:
- Supporting workshops and research tasks to analyze client goals, drivers, and ambitions, as well as client technical and commercial targets, market, and competition, aligned with Mace governance (e.g., Go No-Go, Golden Rules Review).
- Reviewing tender documentation to support relevant priorities.
- Undertaking detailed research on clients, projects, scope, stakeholders, and competitors to identify opportunities.
- Following the Mace Bid Process to deliver high-quality, client-focused proposals, supporting best practices.
- Coordinating project/bid activities-analyzing tender documents to define client requirements, deliverables, deadlines, and responsibilities, forming the bid plan.
- Supporting the bid program, highlighting interdependencies, and monitoring/reporting progress.
- Organizing internal and external progress meetings-kick-offs, regular updates, and supporting the bid team during mid-bid, site, and progress meetings.
- Disseminating and communicating client tender clarifications and facilitating appropriate responses.
- Gathering and issuing clarifications to the client as needed.
- Assisting in drafting standard content, CVs, and project profiles-closing gaps by interviewing relevant business areas.
- Proofreading and editing responses to ensure compliance, clarity, and benefits-driven content.
- Ensuring all reviews and approvals are completed according to the Mace Way Engage process.
- Coordinating the creation of supporting content-printed materials, videos, large-format printing, presentations.
- Recording new content in the Work Winning Content Hub (Aftercare).
- Facilitating lessons learned and best practices sharing.
- Supporting initiatives to improve team performance, competence, and capability, including working toward net-zero carbon goals and managing related emissions and reductions during project delivery.
You'll need to have:
- Strong organizational and project coordination skills.
- Exceptional written English skills, with the ability to edit and craft compelling responses.
- Ability to manage delivery through colleagues at all levels, including technical staff, bid teams, marketing, and external suppliers.
- Empathy and a focus on client drivers.
- Positive challenge and leadership skills to motivate the team.
- Influence and presentation skills to lead discussions.
- Proficiency in Microsoft Office applications: Teams, SharePoint, Word, Excel, PowerPoint.
- Knowledge of Mural whiteboarding tool.
- Experience with Qorus bid management tool.
- A relevant degree or professional experience (or equivalent).

You'll also have:
- Understanding of the professional services or building/property industry.
- Experience with Adobe Creative Suite, especially InDesign.
- Membership in professional bodies such as APMP or CIM is preferred.
- APMP Foundation certification or equivalent is desirable.
