Job Description

TTM Healthcare are proud to partner with our client to recruit an Advocacy Administrator to join their team in Ballyvolane, Cork.

Job Details

Location: Ballyvolane, Cork
Hours: Monday to Friday, 9:00am - 5:00pm or 9:30am - 5:30pm (35 hours per week)
Contract: Initial 8-week contract, with the potential to extend for a further 3 weeks
Salary: €40,800 - €51,349 per annum depending on previous experience

Key Responsibilities

The successful candidate will provide comprehensive administrative and operational support to the advocacy team, assisting with referrals, database management, reporting, and the efficient day-to-day functioning of the service.

Duties will include:

  • Managing the weekly referral process for advocacy cases, including checking submitted information, preparing reports, inputting data, and allocating referrals to relevant team members.

  • Coordinating the timely dissemination of information and referrals to advocacy team members and managers.

  • Providing administrative support for the information and reporting requirements of the advocacy team.

  • Responding efficiently and appropriately to incoming and outgoing correspondence, emails, telephone calls, and in-person enquiries.

  • Liaising with advocacy managers and teams to prepare documentation for meetings and reports.

  • Conducting periodic data cleansing, data mining, and analysis exercises and disseminating results to managers.

  • Gathering information and statistics and preparing reports as required.

  • Supporting the administration and management of databases and associated reporting requirements.

  • Ensuring the confidentiality and appropriate handling of all information relating to children and young people who use the service.

  • Coordinating meetings and taking accurate minutes as required.

  • Working collaboratively with other team members, providing cover and support where required.

  • Participating in team planning, events, staff meetings, and other activities that support the effective functioning of the organisation.

  • Participating in regular supervision with the line manager.

  • Remaining vigilant to health and safety and data protection risks and reporting any concerns appropriately.

  • Undertaking any other duties consistent with the requirements of the role.

Essential Requirements
  • Previous experience working in an administrative and/or data management role.

  • Excellent IT literacy and strong administrative skills.

  • Excellent written and verbal communication skills.

  • Excellent organisational skills with strong attention to detail.

  • Ability to prioritise and manage multiple tasks effectively, including under pressure.

  • Professional, courteous, and friendly manner.

  • Ability to work effectively as part of a team while also using own initiative.

  • Strong commitment to confidentiality and appropriate handling of sensitive information.

  • Flexibility and adaptability in a busy working environment.

  • Commitment to ongoing professional development.

Desirable Experience
  • A background in social care would be highly beneficial.

  • Experience working within a non-profit organisation supporting a vulnerable cohort.

  • Experience managing difficult or sensitive calls and situations involving children, young people, and those associated with them.

  • More than 3 years' experience in an administrative and/or data management role.

  • Knowledge of and experience using Salesforce or a similar CRM/database system
