Job Description

Join Imperial College School of Medicine as a Faculty Admissions Officer, supporting the admissions journey of tomorrow's doctors and scientists.

As a University, Imperial is ranked second in the world in QS World University Rankings, and our Imperial College School of Medicine has an international reputation for excellence, routinely ranked among the world's top five in the sector. Home to more than 2,000 students studying Medicine and Medical Bioscience programmes, the School harnesses that excellence to provide a unique, research led student experience. We stand at the forefront of medical education, and your work here will help create the next generation of doctors and scientists who will improve the lives of patients and populations globally.

What you would be doing

As the Admissions Administrator, you will support the Admissions Officer, Admissions Manager, Head of Education Development, and Academic Director of Admissions, working closely with colleagues across the Faculty Admissions team to deliver all aspects of the undergraduate BSc Medical Biosciences (BMB) and the new MSci Medical Science and Innovation (MSI) selection process at Faculty level.

While you will focus primarily on supporting the BMB and MSci programmes, you will also be expected to provide additional support to the MBBS as required, particularly during Multiple Mini Interviews (MMIs) and in the delivery of recruitment events.

Working collaboratively with colleagues, you will play a key role in the coordination and delivery of core recruitment and outreach activity, including undergraduate Medicine Open Days, Offer Holder Days, and other informative events. You will also help to review and improve processes, contributing to the ongoing development of admissions practices and the applicant experience.

In this role, you will provide high quality advice and guidance to applicants, academic staff, and other stakeholders, responding to a wide range of enquiries with professionalism, accuracy, and a strong customer focus. You will also support data collection and reporting activities, contributing to the evaluation of admissions processes and assisting with internal and external reporting requirements.

Given the nature of the role, some out of hours working will be required.

What we are looking for
  • Have experience in an administration role within an admissions environment or in a comparable role with transferrable skills.
  • Have experience supporting or organising events, ideally in a busy or high volume environment.
  • Have excellent interpersonal skills, with the ability to deal pleasantly, confidently, diplomatically and effectively with face to face enquiries, emails, messaging, and telephone calls.
  • Have a high level of computer literacy, confident in using standard office applications, particularly Excel.
  • Be able to work effectively both independently and as part of a larger team within a complex organisation, working collaboratively and collegiately with colleagues.
  • Be adaptable and responsive, with the ability to manage competing priorities and respond effectively to changing demands.
  • Have proven ability to comply with regulations and codes of practice.
What we can offer you
  • The chance to join a supportive and friendly team that welcomes innovation and works collaboratively with multiple teams across the Faculty of Medicine.
  • The opportunity to continue your career at a world leading institution and be part of our mission to combine our tremendous strength in science to create real world impact.
  • Benefit from a sector leading salary and remuneration package (including 39 days' annual leave and generous pension schemes).
  • Access to a range of workplace benefits including a flexible working policy from day one, generous family leave packages, on site leisure facilities and cycle to work scheme.
  • Interest free season ticket loan schemes for travel.
  • Be part of a diverse, inclusive and collaborative work culture with various staff networks and resources to support your personal and professional wellbeing.
