Job Description
East of England Community Health and Care NHS Trust (Cambridge)

We are seeking an organised and enthusiastic Band 3 Administrator to join our Community Paediatric Team.

This role is key in supporting the smooth running of services by providing high-quality administrative support to clinicians and ensuring an effective patient journey.

Key Responsibilities
  • Providing administrative support to the Community Paediatric Team, managing referrals and supporting patient pathways using electronic systems.
  • Typing clinical and administrative correspondence (audio and copy typing).
  • Maintaining accurate patient records in line with standard procedures.
  • Supporting 18 week pathway targets, escalating any concerns appropriately.
  • Responding to queries from patients, families and professionals.
  • Assisting with reception duties and Single Point of Access (SPA) phone lines when required.
  • Contributing to service audits, data reporting and administrative improvements.
  • Using the electronic patient management system to register, process, check, update and discharge patients.
  • Producing information and data relating to the services as required.
  • Participating in administration meetings and sharing best practice with peers.
  • Managing own workload and prioritising tasks.
  • Supporting the admin team leader in introducing changes to administrative systems.
  • Providing support for audits and producing required reports.
  • Answering queries from doctors, clinicians and other staff regarding clinics and patients.
  • Providing narrative or description to data for reports.
  • Maintaining liaison with other agencies (Education, Social Services, Police, etc.).
  • Ensuring confidentiality and compliance with data protection and information governance.
  • Ordering specialist equipment and consumables, liaising with procurement, monitoring use, and identifying cost savings.
  • Supervising junior staff, providing guidance and training.
  • Supporting staff induction and maintaining own professional development.
Communication
  • Ensuring effective communication between clinical staff, administration team, parents/carers and external agencies.
  • Disseminating information to staff as appropriate.
  • Acting as a link between medical/clinical staff and admin team.
  • Providing data and information for reports as required.
  • Contributing to internal and external communication strategies.
Person Specification Qualifications & Training
  • NVQ Level 3 or equivalent qualifications or equivalent relevant admin experience.
Experience
  • Experience of working with the general public.
  • Use of SystmOne and Oracle working in a service with an 18 week pathway.
  • Experience of working within the NHS.
Knowledge & Skills
  • Excellent communication skills, friendly professional manner.
  • Good attention to detail and ability to check own work.
  • Confident computer literacy including Word and Excel, mail merge, and database update.
Safeguarding
  • Demonstrates understanding of safeguarding issues.
