Job Description

Anexciting opportunity has arisen for an enthusiastic and patient centredindividual to join the Abdominal Medicine and Surgery CSU within the RenalTransplant/Nephrology departments. This hybrid role will work within theseteams to provide administrative support. Applicants should have a responsibleattitude, be proactive, and demonstrate using initiative and excellentcommunication skills; as you will be required to liaise with a wide range ofpeople, such as patients, families, medical staff, admin staff and the widermulti-disciplinary team.

Thepost holder will be required to work as part of a team providing anadministrative support system for the Renal Transplant Coordinators within theRenal Transplant and Nephrology departments within Abdominal Medicine andSurgery.

Main duties of the job

Providing a full secretarial andadministrative service to the departmental team including filing, typing,photocopying, faxing, distributing information and use of internal andexternal email, recruitment administration, plus other administrative dutiesto ensure the smooth running of the department.

Organising and prioritisingworkload based on the needs of the service.

Setting up, maintaining andmonitoring of office systems and processes, liaising with other members ofthe team as appropriate.Responsibilities/duties may include:- maintaining stock levels ofstationery and other items; recording, processing leave requests to ensureappropriate authorisation and notification, expense claims etc.

Using and updating databases,producing reports and statistics for the team and wider distribution, on aregular and ad hoc basis e.g. waiting lists, attendance managementinformation.

Maintain office equipment,reporting faults and escalating problems appropriately

Diary management of senior teammembers.

Organising meetings andappointments. This may include bookingvenues etc.

Organisation of conferences, studydays and other events locally and nationally as required, which may include:

Liaising with local and nationalspeakers.

Booking venues and equipment.

Job responsibilities

Toprovide a comprehensive administrative/secretarial service to the RenalTransplant Co-ordinators. The postholderwill be able to work flexibly and be able to adapt to the changing demandswithin the team. The post holder must be able to communicate sensitively andeffectively with a wide range of people including patients, families, medicalstaff and the wider multi-disciplinary team. The postholder will be required tounderstand the key features of the role and understand the imperative need forconfidentiality and discretion at all times. This is a hybrid role that will becovering renal transplant as both surgical and nephrology services involved.

Thepostholder will undertake administrative responsibilities in support of theDepartmental team and the service. Exercise safe keeping of office equipment,including sensitive data held on the computer, and all other equipment used.

Skills & behaviours
  • Applicants will be required to demonstrate interpersonal skills with the ability to communicate clearly and effectively at all levels.
  • Applicants will be required to demonstrate the ability to exercise judgement when dealing with patient enquiries to evaluate the situation and resolve problems.
  • Ability to work as part of a team and adapt to the requirements of team members.

Qualifications
  • Proficiency in the use of Microsoft Office or equivalent.
  • RSA 11 or equivalent standard of typing/word processing.
  • Proficiency in use of PowerPoint
  • Applicants will be educated to GCSE standard (or equivalent) English language grade C or above.
  • Applicants will have experience of using IT applications in a Windows based environment and email.
  • Understanding of the NHS and the organisation.
Experience
  • Applicants will be required to demonstrate previous experience in dealing with the general public and liaison with healthcare professionals.
  • Ability to prioritise, plan and organise own workload.
  • Ability to use and act on own initiative.
  • Understanding of the need for confidentiality and discretion at all times.
  • Flexible approach to working practices.
  • Applicants will have excellent organisational skills with the ability to work both independently and as part of a team, prioritise workload, work under pressure, multi-task and meet deadlines
  • Experience of using spread sheets and databases, and setting up databases.
