Overview of role

The Medical Secretary team provides administrative support to a selection of consultants across a number of specialties in UPMC Aut Even Hospital. This is a bank contract.

Key Responsibilities
  • Responsible for the medical secretary function for the hospital suites; meet, greet and book patients on the day of the clinic efficiently.
  • Have a clear understanding of the patient pathway throughout the hospital.
  • Provide efficient service in setting up and expanding clinics as required, including promptly handling phone calls and referral letters from GPs, and contacting patients regarding appointment times and fees to be paid.
  • Request and gather information from other hospitals as required by consultants, such as scans, histology reports, pathology reports, etc.
  • Handle cash payments for consultants, enter them into the system, and balance daily; ensure all billing of patients takes place promptly and all patient accounts are kept up to date.
  • Complete any medical reporting required after consultations, sending copies to referring GPs and consultants.
  • Deal with any patient enquiries promptly.
  • Maintain proper and efficient filing systems for each consultant; keep the practice software (Imeddoc/TPRO) always updated.
  • Liaise with and maintain an excellent working relationship with other members of the hospital multi disciplinary team, ensuring a high level of patient service.
  • Work closely with the hospital referrals and scheduling teams, strictly adhering to the hospital booking policy to ensure patients are booked within the correct timeframe.
  • Answer telephone calls politely, courteously, and professionally, taking messages or distributing calls as appropriate.
  • Carry out any training duties as necessary for relief staff/work experience staff for holiday cover.
General
  • There may be a requirement to work in other areas of the hospital in line with patient requirements as requested by line manager, deputy or nurse management.
  • Staff must provide satisfactory documentary evidence of all training and experience claimed if required by the organisation.

  • Work in conjunction with line manager to plan, monitor, analyse and improve all quality programmes.
  • Participate in development of performance indicators with department manager and business objectives.
  • Initiate, participate in and evaluate audits according to JCI, hospital policy and Lean requirements under guidance and support of audit lead.

  • Co operate with UPMC to ensure safety, health and welfare at work and report any potentially dangerous situations.
  • Attend annual education sessions on fire health & safety.

Qualifications & Experience Qualifications
  • Medical Secretary or Business Secretarial qualification desirable.
Experience
  • Minimum of 2 years experience in a similar role.
  • Previous experience working within a healthcare setting or similar is advantageous.
  • Excellent knowledge of Microsoft Office packages.
  • Experience of Immeddoc and TPRO desirable.
Job Specific Competencies and Knowledge
  • Knowledge of general office procedures is essential.
  • Proficient knowledge & use of Microsoft packages is essential.
  • Ability to work in a fast paced customer based environment.
  • Experience in change management.
