The East of England Imaging Academy (formerly Norwich Radiology Academy) is seeking an experienced and motivated Academy Secretary to join its secretarial team. This part time role (15 hours per week) supports the efficient running of the Imaging Academy, which provides high-quality training for Clinical Radiology and other imaging healthcare professionals.

Role Overview

The Academy Secretary will provide clerical and administrative support to the Imaging Academy team, acting as the first point of contact for queries and ensuring smooth day to day operations. The role requires strong organisational skills, initiative, and the ability to work professionally with staff across disciplines.

Key Responsibilities
  • Provide secretarial and administrative support to Consultant Staff and Radiology trainees
  • Manage communications and emails, prioritising appropriately
  • Act as first point of contact for queries (face to face, telephone, email)
  • Transcribe audio dictation and generate correspondence independently
  • Assist in creating electronic teaching resources
  • Organise and support meetings, including minute taking
  • Maintain filing and retrieval systems, ensuring accuracy and confidentiality
  • Process trainees' annual leave and study leave requests
  • Provide accurate data entry and retrieval via PAS, RIS, ICE, and other systems
  • Support audit work and assist at events, seminars, and lectures
  • Prepare paperwork for courses and conferences (packs, badges, delegate lists)
  • Provide cross cover for colleagues during absences
Required Skills and Experience Essential
  • RSA Level 2 or equivalent qualification
  • Good literacy and numeracy skills
  • Strong working knowledge of Microsoft Office
  • Previous secretarial experience
  • Experience in NHS, healthcare, or medical education environment
  • Ability to work independently and professionally with staff across disciplines
Desirable
  • Experience in audit or data collation
  • Familiarity with NHS systems (PAS, RIS, ICE)
