Training and Documentation Officer - HYBRID (EU PASSPORT HOLDERS ONLY)

JOB LOCATION: Luxembourg

DURATION: 12+ Minimum (Possibility for Extension)

WORK PATTERN: ONSITE Role (on-site 3 days a week with Hybrid)

PAY RATE: Euros 450 - Euros 500 EURO/Day (Negotiable)

LANGUAGUES: ENGLISH & FRENCH

Mission:

Besides obvious communication and writing skills and familiarity with editing tools (video and/or graphic), must have a people-oriented approach, have patience to explain, resilience to spend hours in training, determination to ask for answers when they are not given and the ability to find fulfilment in supporting others.

It is a position with less oversight, therefore it is helpful for the person doing it to be able to self-manage, prioritise their tasks and optimise planning to the fullest.

What will help the person succeed in the position is not necessarily their competencies, but their social skills and motivation to do a good job.

Studies: Bachelor degree (Master would be even better, but not mandatory)

Years' experience: at least 7 relevant ones in IT (and at least 3 as Training and Documentation Officer if possible in the Defence, EU Institutions, Security (cryptography), Secure Communications, or Financial institutions

PSC: EU/NATO SECRET required (can be requested before onboarding), but nationality must be EU one, no multiple nationalities if third countries (even UK is tricky and would need to be checked)

Language: very good level of English (real C1-C2), knowledge of French is useful too

Substantial onsite presence is required, so people need to be available to go work at EEAS HQ in Rond-point Schuman at least 3 days/week, and it could be more or less depending on the work needs. Flexibility could be there but it should not be a hard conditions by the candidates.

Responsibilities:

Training and Documentation Officer

Nature of the tasks

  • Plan, write, and edit existing or new user manuals.
  • Work closely with other cross-functional teams to ensure accuracy in the manuals.
  • Handle multiple guides and manuals simultaneously.
  • Adapt to changing requirements and deal with dynamic schedules.
  • Develops stakeholder's promotions and communications (leaflet, newsletter ).
  • Assists in the preparation and drafting of various communications
  • (email, Programme/project communication, intern/extern communication, meeting presentation, etc ).
  • Assists with standardization of communication means.
  • Work independently through all stages of the document development life cycle.
  • Be an editor and proof-reader by participating in peer reviews.
  • Apply corporate quality standards and policies.
  • Ensure consistency among documents or drafts, confirming accuracy of references, footnotes, or captions.
  • Ensure conventional training on information and communication systems, from the preparation to the diffusion.
  • Ensure E-learning training on information and communication systems, from the preparation to the publishing.
  • Coordinate the trainings on information and communication systems.
  • Ensure the follow-up of trainings results.

Additional needed qualification, knowledge, and skills:

  • Minimum 3 years of experience as a Training and Documentation Officer in defence, government, or financial organisations.
  • Writing, proof reading or publishing experience, preferably with IT documents.
  • Experience of training in IT including at least one e learning course.
  • Strong understanding of IT concepts and ability to quickly grasp new acronyms and technologies.
  • Excellent written English language skills.
  • Good knowledge of presentation tools (eg PowerPoint).
  • PC skills and proficiency in MS Office and MS Visio.
  • Knowledge of proof-reading and type-setting standards.
  • Ability to interpret and follow page layout specifications.
  • Expertise in language style, accuracy, and speed in reading detailed material.
  • Must possess excellent communication skills, written and oral, in French and in English.
