This office-based role involves VDU work and customer call coordination on our Salford hospital site, supporting the wider Medical Device Service across the Northern Care Alliance.
We are seeking a motivated, professional individual to join our Customer Service and Administration team, providing high-quality support to technical, engineering and operational colleagues. As the first point of contact, you will manage internal/external emails and incoming calls, so excellent communication skills, a positive approach, strong organisation and a confident telephone manner are essential. You should be able to work well within a team, use your initiative, and show commitment to personal and professional development.
You will assist with daily administrative tasks, ensuring accurate data capture for equipment inventory, updates, data entry and uploading service or repair reports. This information is vital for compliance reporting and asset management.
The role also includes coordinating contractor bookings, liaising with departments and technical teams to ensure equipment is available with minimal impact on patient care. You will oversee Provisit, ensuring contractors follow site requirements and have correct documentation for legal and insurance purposes.
Additionally, you will support processing orders requested by technical team leaders and managers.
Main duties of the jobYou will be responsible for effective administration duties, booking & coordinating service visits, call handling, data inputting, email coordination and other administrative duties.
You must have previous office-based experience and a working knowledge of Microsoft Office and the ability to learn other software systems.
You must possess excellent communication skills both written and verbal and have the personality to provide excellent customer service and build relationships with users of the service, particularly our external partners and suppliers.
Provide a friendly and approachable service, delivering a high level of professionalism and have the ability to effectively work as part of a team as well as on your own initiative, proven organisational skills and a strong commitment to personal and professional development

Person Specification Qualifications- 5x GCSE including English, Maths and Science
- ECDL, databases
- Previous administrative or data inputting experience
- Experience of working within a Specialist Technical team or environment
- Working experience of Microsoft software including Outlook, Word, Excel, PowerPoint, and MS Teams
- Experience of implementing and maintaining electronic record filing systems
- Knowledge of medical equipment terminology
- Experience of contract management
- Experience of using NHS electronic systems
- Evidence of effective communication with all levels of staff, external agencies and service users
- Good keyboard skills and the need for accuracy
- Ability to prioritise workload effectively
- Evidence of good organisational and time management skills
- Ability to work as a team member and individually
- Evidence of the ability to learn new skills and adapt to a changing environment and quickly apply new processes
