About this RoleAs a Team Assistant - UK, you will play a crucial role in ensuring the smooth functioning of our London office and team. Reporting directly to the Head of UK, you will act as a central point of coordination for the team, ensuring seamless day to day operations.
This is a varied role combining team support, office coordination, and operational support, with scope to grow depending on the candidate's strengths. Responsibilities will include a range of administrative support across meetings, events and operations.
The ideal candidate will demonstrate exceptional organisational skills and be an excellent communicator. They will have the confidence to be proactive, positive and calm under the pressure of managing competing priorities.

Key Responsibilities- Meeting Organization
- Schedule and coordinate meetings with internal teams and clients.
- Prepare and distribute meeting agendas and materials.
- Ensure meeting rooms are prepared with necessary equipment and supplies.
- Take minutes during meetings and follow up on action items.
- Administrative Support
- Manage office supplies and inventory.
- Handle incoming and outgoing correspondence.
- Assist with purchasing, invoice collection and processing (including maintaining financial records).
- Assist with travel arrangements and itineraries.
- Maintain and update company records, databases, and filing systems.
- Assist the Head of UK with day to day administrative tasks.
- Process Development Support
- Support in the documentation of internal processes and procedures.
- Assist in reviewing and updating the company's operational processes.
- Help ensure process documents are organised, accurate, and accessible.
- Collaborate with the HR team to streamline onboarding and employee lifecycle processes, including assistance with new starters.
- General Office Administration
- Greet and assist visitors to the office.
- Maintain a clean and organised office environment.
- Coordinate with property management for office maintenance.
- Monitor compliance with office regulations and standards.
- Proactively identify opportunities to improve workplace efficiency.
- Basic education and vocational training are required; a university degree will be highly valued.
- Minimum of 1 year of proven experience as an administrative assistant or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Excellent organisational and time management skills.
- Strong attention to detail and problem solving abilities.
- Ability to work under time pressure.
- Fluent English speaker with exceptional communication and interpersonal skills. Spanish or German language proficiency is a bonus.
