Are you an organised, proactive administrator who takes pride in delivering high-quality work? We are looking for a reliable and enthusiastic Healthcare Administrator to support our busy prison healthcare team at HMP Stoke Heath.

This is a rewarding opportunity to play a vital role in ensuring healthcare services run smoothly across mental health and substance misuse services. You will manage referrals, appointments, and clinical documentation, maintain accurate patient records, coordinate meetings, support governance processes, and act as a key point of contact for healthcare teams.

We are looking for someone with substantial previous administrative experience, ideally within a busy or complex environment, who is confident using IT systems. You should have accurate typing skills, strong attention to detail, and the ability to manage competing priorities effectively. Experience supporting meetings and taking minutes would be beneficial.

Main duties of the job

We are looking for a full time Administrator for the integrated Mental Health & Substance Use Service based within HMP Stoke Heath in Market Drayton, Shropshire.

The location of this role is remote, being mindful that our local public transport links are limited we highly recommend you can drive when applying for this position.

You will support the referrals management process, assist with the processing and management of the referral system and provide a full administrative function for the service in response to need.

While the role is primarily office-based, it does involve working within a secure prison setting:

  • You may have limited and controlled interaction with prisoners, for example via office hatches or in controlled areas
  • Most direct patient care is delivered by clinical staff
  • All interactions follow established security and professional protocols

Our teams include clinicians, recovery workers, and administrative staff working together to support individuals in custody to improve their health, wellbeing, and rehabilitation outcomes.

As a Prison Administrator, you will play a key role in enabling these services to run effectively by supporting clinical and operational activity across both teams.

About HMP Stoke Heath

HMP Stoke Heath is a Category C training prison located in rural Shropshire. The prison primarily accommodates adult males serving medium-length sentences, many of whom are preparing for release and reintegration into the community.

The environment is structured, secure, and routine-driven, with clear systems in place to ensure safety and order.

Job responsibilities

  • Maintain confidentiality and handle complex or sensitive information appropriately, prioritising communication with staff and external contacts.
  • Provide high-quality administrative and word-processing support, including letters, reports, filing systems, photocopying, archiving, and office support duties.
  • Manage incoming post, referral systems, office and clinical equipment requisitions, and monitor/reorder educational and self-help materials.
  • Support meetings and committees by preparing documentation, providing administrative assistance, and taking minutes where required.
  • Assist team members, support recruitment campaigns and advertisements, and provide guidance to new or less experienced staff.
  • Be flexible to undertake additional duties as requested, including occasional evening and weekend work.

Person Specification Qualifications
  • Working towards an NVQ 3 or equivalent qualification in administration or related field
  • Qualified and proven comprehensive knowledge of Microsoft packages including spread sheets
  • Education to GCSE level/GCE 'O' Level or equivalent - Math/English minimum
Experience
  • Significant experience of providing clerical services
  • Proven ability to administrate meetings including minute taking
  • Experience of Computer and Software packages
