Job Description

To provide administrative and secretarial support to the manager and clinical teams as directed to ensure the smooth and efficient operation of the Winchester OPMH CMHT clinical staff

Communicate with a range of internal and external professionals and organisations whilst providing a good customer service experience

Ensure friendly and professional ethos within the team

To provide confidential and courteous administration support to the Winchester Older Person's Community Mental Health team. Take minutes and type clinic documents/letters to support Management and Clinical staff

Receipt of new referrals ensuring they are triaged and carryout the required administration, arranging initial assessments, liaising with our Service\users to agree a suitable date/time for their assessment. Booking in the HCP diary and liaising with the assessor

Manage diaries for consultants and clinics, sending out appointments, liaising with service users.

Ensure that patient medical record systems are available and monitor that they are correctly maintained. This includes, but is not limited to, ensuring correct RiO demographics, validations systems, and spine synchronisation, up-loading and maintaining correct documentation.

To manage telephone enquiries on behalf of the Team/Clinical staff and respond accordingly

To provide administration support to the Team and other identified senior clinical staff for meetings as requested

Person specification Qualifications

GCSE level education including English or Maths

Computer literate, good working knowledge of standard MS Office packages including Word, Outlook and Excel

IT Qualification

RSA typing

Experience of audio typing

ECDL, NVQ Level 3 in business administration or similar

Experience

Computer literate, good working knowledge of standard MS Office packages including Word, Outlook and Excel

Experience of working in administrative role and able to keep accurate and legible records

Ability to work without direct supervision and to work to tight deadlines

Able to work on own self-initiative and as part of a team

Able to manage workload and prioritise

Able to communicate with professionals at all levels and service users both verbally and written

Previous NHS Experience

Working with patient information systems such as RiO

Able to work within policies and procedures

Able to communicate effectively and professionally

Excellent telephone manner and the ability to deal with challenging calls

Good understanding of confidentiality and data protection

Friendly professional and non-judgemental
