Job Description

Gama Aviation are looking to welcome a Talent Acquisition Coordinator to our Talent Team. This is a fantastic opportunity, in a highly visible and fast paced coordination role, where you will play a critical part in delivering a seamless and high quality recruitment experience across the business.

As a Talent Acquisition Coordinator, you will take ownership of the end to end coordination of recruitment activity, acting as the central point of contact for candidates, Hiring Managers and the wider Talent Team. You will be responsible for ensuring processes run efficiently, timelines are met, systems are accurately maintained and every candidate interaction reflects our commitment to excellence.

This is a hands on, operational role that sits at the heart of our hiring activity, requiring strong organisation, attention to detail and the ability to manage multiple priorities simultaneously. You will work closely with the TA Manager and TA Advisor, contributing to the delivery of hiring outcomes across a diverse and dynamic business.

Responsibilities
  • Own and manage the end to end coordination of recruitment processes across open vacancies
  • Act as the central point of contact for all coordination activity between candidates, Hiring Managers and wider Talent Team
  • Upload new vacancies to Sage People for approval and manage progression of vacancies through the process
  • Support the creation of engaging job adverts and social media posts, promoting current vacancies and talent initiatives
  • Upload finalised job adverts to the relevant advertising platforms internally and externally
  • Manage job advertising expiry dates and refresh advertising as required across relevant platforms
  • Coordinate, produce and distribute the weekly "internal vacancies" communication to all employees and update the internal intranet with vacancies as required
  • Screen and sift through received applications for live vacancies, working with the dedicated Talent Acquisition Advisor to create a final shortlist for hiring manager review
  • Own the scheduling of requested interviews end to end across all stages, including coordination of candidate (both directly and via recruitment partners) and Hiring Manager availability, producing and sending interview confirmations to all parties and arranging room bookings (if required)
  • Prepare interview packs for Hiring Managers including job descriptions, CV's, guidance documents and interview feedback forms
  • Manage candidate communications throughout the process, ensuring a positive, professional and timely experience
  • Maintain accurate and up-to-date candidate status within Sage People
  • Manage the recruitment inboxes and respond to candidate queries surrounding applications, interviews and feedback, escalating queries to the Talent Acquisition Advisors as required
  • Prepare and issue offer letters and contracts of employment using approved templates and electronic signature system
  • Ensure all offer documentation and communication is accurately completed and stored within Sage People
  • Update and maintain accurate vacancy data within Sage People and internal recruitment tracker
  • Support the collation and input of hiring data into reports for use within the Talent Team and wider business
  • Organise and coordinate chosen careers events, working with the Talent Team and Marketing Team to ensure all merchandise and collateral are arranged and available for specified event dates
  • Manage the collation of feedback from candidate and hiring manager surveys for Talent Team review
  • Work closely with the Talent Acquisition Apprentice, providing guidance, support and task delegation
Skills, Qualifications and Experience required Essential
  • Experience in a recruitment coordination position within a fast paced environment
  • Understanding of recruitment processes and best practice
  • Excellent organisational and time management skills
  • Strong attention to detail and accuracy
  • Excellent working knowledge of MS Office including Word, Excel and PowerPoint
  • Demonstrable experience of working with and across multiple systems
  • Ability to multitask and handle competing priorities
  • Customer focused with a passion for delivering a positive candidate experience
  • Confident communicator, both verbal and written
  • Ability to interact and engage comfortably with people at all levels of the business
  • Able to remain calm under pressure
  • Proactive and solutions focussed mindset
  • Ability to work autonomously as well as part of a team

  • Experience within an internal recruitment or Talent Acquisition function
  • Experience using an HRIS or Applicant Tracking System
