Job Description
Compliance Support Officer 
Full time temporary contract 2 3 months
Hourly rate £18 20 per hour
Free parking onsite
- Administer agenda, meetings, and minutes
- Support the Compliance Manager and Compliance Team with managing compliance data and administrative duties
- Support delivery of a high quality, effective and customer focused service to the Compliance Arena
- Maintain the compliance inbox, SharePoint folders and documents
- Liaise with Compliance Officers, contractors and Systems Project Officer to ensure correct data is sent to contractors and data from all compliance contractors is centrally collated and recorded on the central database
- Work with the Systems Project Officer on monthly or ad hoc reporting requirements, producing data charts and trend analysis
- Compile compliance figures for reporting purposes from Compliance Officers, M&E Manager and Regulatory Compliance Manager for Tenant Satisfaction Measures, Key Performance Indicators and other monthly reporting
- Maintain accurate records
- Ensure all compliance records, contractor records, certification and management systems are current and updated in accordance with GDPR and data protection requirements
- Provide support, assistance and cover across the Compliance Team and the wider Property Service Team when required
- Support raising bulk orders for contractors as approved by relevant members of the team
- Support administrating no access procedures including escalation of cases, mail merges, legal referrals and data recording
- Manage the Compliance email inbox and cascade queries to relevant officers and respond accordingly
- Raise Orchard works orders as required
- Check invoices for accuracy within financial management systems
- Provide information to Managers within the team and Housing Operations Managers for budgeting and business planning purposes
- Work as part of the key Compliance Team to ensure resilience and continuity of the compliance work streams
- Work in partnership with contractors, colleagues from Property Services and wider Housing and Corporate Services to take a holistic approach to service delivery
- Liaise with residents undergoing works in their homes, providing information, dealing with their needs sensitively, explaining technical plans or specifications to a non technical audience
- Actively participate in contractor meetings and participate in the management of contractor duties
- Deliver excellent service to customers in line with published service standards
- Actively promote the Equality and Diversity policy in all aspects of duties
- Adhere to effective safeguarding practice for vulnerable adults and children in accordance with Council policies, guidance and protocol
- Treat all colleagues with dignity and respect, encouraging them to meet full potential in a non threatening environment free of harassment and bullying
- Ensure principles of confidentiality and GDPR requirements are fully applied to work in the service area
- Work in line with relevant protocols and service level agreements to enable effective sharing of information between agencies
