Do you have a passion for data protection, excellent customer service skills, and the ability to manage detailed requests in a fast paced environment? We're looking for a Subject Access Rights Officer to join our well established national Information Governance team and play a vital role in managing access to health and care records across the organisation.

As a Subject Access Rights Officer, you will be the key point of contact for all Subject Access and other access to records enquiries. You will ensure every request is handled promptly, accurately, and in full compliance with legislation such as the Data Protection Act 2018, UK GDPR, the Access to Health Records Act 1990, and other statutory requirements.

Using our privacy management system and DSAR portal, you will manage the full lifecycle of access requests-providing a professional, confidential, and friendly service to internal and external stakeholders. You will work as part of a collaborative team and provide cover for colleagues where needed. This role is mostly remote working with travel to services when required, meaning we can accept applications from candidates from anywhere in the UK. This is a fixed term opportunity for 12 months.

What you'll be doing:

  • Act as the main point of contact for access to records enquiries, ensuring a complete, confidential, and supportive service to all stakeholders.
  • Coordinate with the Data Subject Rights Manager on requests to alter, restrict or otherwise exercise data subject rights.
  • Acknowledge, log and process incoming requests through the DSAR portal within statutory timeframes.
  • Assess request complexity early and communicate any required extensions to applicants promptly.
  • Provide advice and support to colleagues across the organisation regarding access to records processes.
  • Work collaboratively with stakeholders such as Safeguarding Teams, the Clinical Systems Team and others to manage requests efficiently.
  • Lead on gathering, reviewing and preparing information for disclosure, applying exemptions correctly and escalating clinical reviews where required.
  • Support the delivery of monthly KPIs and compliance reporting for access to records.
  • Promptly escalate risks, non compliance issues, complaints or ICO correspondence to the Records Manager/Data Protection Officer.
  • Help develop and improve policies, procedures and the DSAR portal to ensure the highest standard of customer service.
  • Assist in creating and delivering communications or training related to access to records.
  • Participate in team meetings, training sessions and the development of team objectives, monitoring progress and contributing to centralisation efforts.
  • Provide cover for other Subject Access Officers as needed.

About You:

  • Strong experience using Microsoft Office applications and Adobe tools.
  • Understanding of data protection legislation and the management of Subject Access Requests.
  • Excellent written and verbal communication skills.
  • Outstanding attention to detail and accuracy.
  • Highly organised and able to meet tight deadlines in fast paced environments.
  • Excellent administrative skills and the ability to manage high volumes of requests.
  • Strong customer service skills and the ability to handle sensitive enquiries confidently and confidentially.
  • Knowledge or experience using health and care systems (e.g., SystmOne, EMIS).
  • Previous experience working with medical records.
