Job Description
Scheduling & Service Operations Coordinator
My client is a leading organisation based in Belfast, who specialise in providing scientific solutions and applications to start-up, local and multinational companies.
This is a Full-Time, Permanent Position.
Hours of work: Monday to Friday (9am - 5pm) with hybrid working.
With a salary of £30,000 - £35,000 per annum (dependent on experience).
Essential Criteria:
- Minimum of 3 years' experience within a scheduling, operations, service coordination or administrative role.
- Proven experience of coordinating resources, schedules and operational activities.
- Advanced IT proficiency, with the use of Microsoft Office Suite to include Outlook, Excel and business management systems.
- Excellent communication skills both written and verbal - with the ability to communicate with stakeholders at all levels.
- Ability to manage and prioritise a busy workload while adhering to deadlines.
- Strong accuracy and attention to detail.
- Ability to work on your own initiative as well as part of a team.
Main Duties and Responsibilities:
- Take ownership of the daily scheduling and optimisation of engineers' workloads, ensuring maximum efficiency, productivity and customer satisfaction.
- Act as the key point of contact for service operations, managing escalations and resolving scheduling conflicts or resource constraints.
- Develop and maintain effective relationships with customers, providing regular updates on service schedules, project timelines, parts availability and engineer attendance.
- Oversee the creation and accuracy of service job sheets, work orders and service documentation.
- Coordinate with warehouse and logistics teams to ensure timely dispatch of parts, equipment and consumables required for field engineers.
- Manage the service inbox, ensuring customer orders, purchase orders, quotations and service requests are processed efficiently and within agreed timeframes.
- Prepare and review quotations for non-contract work, repairs, service visits and spare parts requirements.
- Maintain accurate customer, equipment and service records, ensuring compliance with company standards and audit requirements.
- Support continuous improvement initiatives across the service department, identifying opportunities to improve scheduling efficiency, customer experience and operational performance.
- Provide guidance and support to junior administrative team members as required.
- Contribute to departmental projects and operational planning activities in partnership with senior management.
