Job Description

Location: Office at Ocean Park House, Cardiff

Working hours: 37 hours per week

Salary: £27,040 rising to £28,600 (2026)

This role will support front of house operations, serving as the first point of contact for visitors and callers. The successful candidate will provide a welcoming, professional environment, supervised by the People Operations Manager. The position is based at the Head Office.

What you'll do:
  • Act as the first point of contact for visitors, providing a welcoming and professional reception service
  • Manage calls, enquiries and the switchboard efficiently and professionally
  • Issue and maintain staff and visitor ID badges and access fobs, ensuring accurate records
  • Support room bookings, meeting coordination and general office enquiries
  • Provide administrative support including email, data entry, filing and diary management
  • Assist with the coordination and delivery of meetings, events and workshops
  • Manage deliveries, stationery supplies and reception related processes
  • Maintain a clean, safe and organised reception area
  • Handle complaints and challenging situations professionally, escalating where appropriate
  • Ensure compliance with GDPR, safeguarding, health & safety and organisational policies
  • Undertake other reasonable duties as required
Person Specification Experience

Proven experience of a front facing reception or customer service role, including telephone conversations.

Qualifications & Knowledge

Currently hold or willingness to work towards a formal customer service or administration qualification.

Skills & Attributes

Resilience, adaptability, excellent service orientation, strong organisational and communication skills, ability to remain calm under pressure, commitment to confidentiality and GDPR compliance.
