We are looking for a Senior Accounts Co-ordinator with experience in Billings time/material to join our finance team in Soho, London. This is a fast-paced role with high volumes of invoice processing.
Key responsibilities- Ensure all timesheets, chargeable expenses, and third-party invoices for both London and Leeds offices are input into the system.
- Assist with timesheet input as needed.
- Run reports in UNIT4, transfer data to the bespoke Excel WIP database, and check for accuracy before emailing and distributing to Project Managers.
- Undertake monthly invoicing, including billing actions, transfer of chargeable time, write-offs, and credit notes.
- Track WIP reports and liaise with project managers regarding any missing reports.
- Distribute monthly WIP reports.
- Maintain detailed records of WIP provisions and write-offs for auditing.
- Review and manage aged WIP with project managers to ensure revenue accuracy and proper accounting procedures.
- Update finance spreadsheets and records, including invoice tables, WIP reports, and job codes.
- Prepare weekly time reports for clients to raise invoices and obtain payment approvals.
- Process invoices for sub-consultants.
- Provide fee analysis to Project Managers as needed.
- Maintain records for annual audits and assist with audit queries.
- Generate missing timesheet reports and follow up with Project Managers.
- Cover billing during team absences.
- Assist other Accounts Coordinators as required.
- Experience with Time & Material billing.
- Background in a consultancy, professional services, or similar environment.
- WIP management experience and understanding of WIP processes.
- Strong organizational and prioritization skills.
- Experience with UNIT4 highly desirable.
- Attention to detail and interpersonal skills.
- Proficiency in Microsoft Office, especially Outlook, Excel, and Word.
- Timesheet software experience is a plus.
