Role OverviewWe are seeking an organised, proactive and professional Sales, Marketing & Quality Co-ordinator to provide effective administrative and co-ordination support across sales, marketing, quality assurance and general business activities.
The successful candidate will be responsible for managing customer enquiries, supporting new business opportunities, maintaining accurate records and documentation, assisting with quality and compliance requirements, and providing general administrative support to the wider team.
The role requires excellent communication and organisational skills, a strong attention to detail and the ability to manage multiple priorities effectively.
Key Responsibilities1. Sales Co-ordination- Answer incoming emails and telephone enquiries, logging, qualifying and progressing enquiries as part of the First Contact Team.
- Maintain the enquiry register, ensuring it remains accurate and up to date and that enquiries are allocated to the appropriate person(s).
- Liaise with clients regarding the progress and status of enquiries where required.
- Prepare and issue quotations.
- Provide general administrative support to the sales and commercial functions.
- Co-ordinate new business prospects and support the development of business leads.
- Maintain an accurate database of client contacts and business leads, following up with clients regarding the status of opportunities where appropriate.
- Co-ordinate enquiries relating to seminars, awareness training and other marketing activities.
- Manage and maintain the organisation's LinkedIn profile, including preparing and publishing posts.
- Co-ordinate news stories and content for the company website.
- Order marketing materials and supplies, ensuring appropriate stock levels are maintained.
- Respond to requests for brochures, reference documents, gap gauges and other supporting materials.
- Provide general administrative support for marketing and business development activities.
- Support the onboarding of new customers
- Complete Pre-Qualification Questionnaires (PQQs) and Selection Questionnaires (SQs) as requested.
- Complete and co-ordinate customer and project feedback surveys.
- Maintain accurate and organised quality-related documentation and records.
- Assist with quality and compliance activities as required.
- Set up and maintain electronic folders, ensuring internal and external correspondence is filed accurately and efficiently.
- Scan, organise and file general office documentation and paperwork.
- Greet and assist visitors in a professional and welcoming manner.
- Provide cover and support to Operations Co-ordinators, including updating details of new jobs and filing documentation and correspondence on the project system.
- Attend and take minutes at internal and external meetings as requested.
- Identify and undertake relevant job-related training and professional development.
- Maintain confidentiality and ensure information is handled appropriately.
- Undertake any other reasonable ad-hoc duties as required to support the effective operation of the business.
The ideal candidate will have:
- Previous experience in an administrative, sales co-ordination, marketing or customer-facing role.
- Excellent written and verbal communication skills.
- Strong organisational and time-management skills.
- Excellent attention to detail and accuracy.
- The ability to manage multiple tasks and prioritise effectively.
- Good IT skills and confidence using Microsoft Office and business systems.
- Experience maintaining databases, records and electronic filing systems.
- A professional and customer-focused approach.
- The ability to work independently while also contributing effectively as part of a wider team.
- A proactive approach to identifying and completing tasks.
- Previous experience working within a quality or ISO-certified environment would be advantageous, but is not essential.
