The Role

Aberystwyth Arts Centre is a flagship venue for the Arts in Wales, and our trading operations deliver a unique quality offer based around 3 guiding principles of provenance, sustainability and people centred. The Retail Team Leader assists in the running of the retail operations and the annual Winter Gift Fair for the Arts Centre, maintaining high levels of customer care, supervising assistants on a day-to-day basis. You will be required to be flexible in your approach to the varied jobs within the retail operations, with knowledge and experience in the retail sector essential for the position. The Arts Centre is a 7 day week operation, and the trading areas are an integral part of the overall customer experience and contribute to the sustainability of the venue. What you'll do

This job description is subject to review and amendment in the light of the changing needs of the University, to provide appropriate development opportunities and/or the addition of any other reasonable duties.

  • To provide the highest levels of customer service to Arts Centre visitors at all times.
  • To oversee the work of customer service assistants in the relevant area, managing a small team of staff.
  • To ensure the smooth running and development of the retail areas within the Arts Centre.
  • Provide feedback to the Trading Operations Manager on a regular basis regarding quality standards, offering suggestions on improvements.
  • Assist with staff management and welfare, customer care, health & safety, staff training, staff rotas, ordering, processing stock, and record keeping.
  • Assist with the presentation and curation of retail items to best enhance the retail experience and maximise sales.
  • Ensure the shop and surrounding areas are regularly dusted and kept clean at all times.
  • Ensure shop displays are well stocked and standards of presentation are maintained throughout the day.
  • Monitoring and acting on reports relating to stock levels and placing orders as required.
  • To assist in the planning, execution and maintenance of the Arts Centre Winter Fair. This includes leading panels to select stallholders, completing ongoing admin tasks as required, ensuring staff levels are adequate for the smooth running of the fair, liaising with stallholders throughout the winter fair and organising set up, restock, and take down days
  • Adhere to health and safety protocols and regulations as directed by the manager and undergo on going training towards relevant statutory qualifications.
  • To ensure financial aspects of the retail business are executed correctly. This includes processing invoices and purchase orders on ABW and ensuring sale or return artist payments are submitted in a timely manner.
  • To contribute towards the completion of Year End financial processes, including stock takes (bi annually), submissions of purchase invoices and stock valuations.
  • Attend team meetings as and when required.
  • Working with the customer service assistants to:

i. Replenishing and refreshing stock as appropriate, training the customer service assistants to undertake these tasks.

ii. Handle cash and take card payments in accordance with University regulations and cash handling procedures.

iii. Clean work and public areas as required in accordance with training provided and to the highest professional standard.

iv. Maintain excellent customer relations with all visitors and, during the shift, dealing with any issues raised by customers and responding accordingly.

v. On going training and mentoring of customer service assistants in all matters relating to health, safety and hygiene in the trading area.

  • To be a flexible member of the team, supporting colleagues at peak times of workload and pressure including attendance at university events e.g. open days, graduation which may include weekend work.
  • Fulfil health and safety responsibilities appropriate to the role, while actively promoting the personal health, safety, and wellbeing of staff and students as a member of the Aberystwyth community. Additionally, support the University's commitment to environmental sustainability through responsible practices and engagement.

Who you are - Qualifications, Experience, Knowledge and Skills required

Essential

  1. Maths GCSE (Grade A-C) or equivalent
  2. Experience of working in a supervisory position within a retail environment
  3. Experience of undertaking administrative tasks associated with retail operations including purchase ordering, stock management, invoice processing and records management
  4. Experience of working with EPOS systems, and the ability to produce reports and database analysis.
  5. Excellent interpersonal skills and the ability to deal with a variety of customers
  6. An aptitude for working well with other colleagues and the confidence to take decisions as required in the absence of a manager.
  7. The ability and aptitude to take initiative and act appropriately under pressure.
  8. Flexible working attitude and willingness to learn.
  9. Ability to use Microsoft Outlook, Excel and Word.
  10. Oral (spoken) and Written Welsh Level B1 or evidence to demonstrate an on going commitment to learn Welsh to this level.

Desirable

  1. Business related qualification
  2. Knowledge of back office EPOS systems
  3. Working knowledge in the use of website and social media platforms.
  4. Oral (spoken) and Written Welsh Level C1.
