Salary: up to £32,000 per annum
The Registry & Operations Officer provides high quality administrative and operational support across Registry services, ensuring the effective delivery of student administration throughout the student lifecycle. The postholder is responsible for maintaining accurate student records, supporting enrolment and registration activities, monitoring student attendance and engagement, administering assessment processes, preparing official student documentation, and supporting photocard applications.
Working collaboratively with academic departments, professional services, Careers team and the University of Huddersfield, the Registry & Operations Officer ensures that student administration processes are delivered accurately, efficiently and in accordance with university regulations, quality assurance requirements, and data protection legislation. The role contributes to an excellent student experience through responsive service delivery, effective stakeholder engagement, and continuous improvement of Registry operations.
Attendance Monitoring and Student Engagement- Monitor student attendance and engagement in accordance with university policies and regulatory requirements.
- Maintain accurate attendance records, investigate discrepancies, and identify students requiring additional support.
- Arrange and conduct student intervention meetings, agreeing appropriate support plans and follow up actions.
- Maintain accurate case records, monitor progress against agreed actions, and escalatge complex cases where appropriate.
- Liaise with academic staff and support services to coordinate interventions or referrals to student support.
- Assess and approve authorised absence requests in line with university attendance policies and procedures.
- Produce attendance and engagement reports to support student success, compliance, and institutional reporting.
- Maintain accurate and up to date student records in accordance with university policies, regulatory requirements, and data protection legislation.
- Process student record amendments, ensuring information is accurate, complete and updated within agreed timescales.
- Prepare documentation to support audits, regulatory reporting, and quality assurance activities.
- Identify and escalatge data discrepancies, compliance risks, and complex cases to the appropriate manager.
- Support the delivery of student enrolment and registration processes for new and returning students, ensuring records are complete, accurate and compliant with university requirements.
- Provide guidance and support to students throughout the enrolment process, resolving queries and escalating issues where appropriate.
- Support student induction activities by coordinating administrative arrangements, preparing information, and ensuring students receive accurate guidance on key University processes and services.
- Process student Oyster photocard applications, building access card requests, and student ID card requests, ensuring accuracy and timely completion.
- Respond to student enquiries and process requests for official letters in a timely and professional manner.
- Respond to student enquiries regarding fees, payments and account balances.
- Maintain accurate records of student accounts and communications.
- Liaise with internal Finance teams to resolve account issues.
- Administer assessment processes through university systems, ensuring the accuracy, integrity and security of assessment data.
- Assist with the preparation of documentation for Course Assessment Boards and Award/Progression Boards.
- Coordinate and administer academic misconduct, mitigating circumstances and assessment appeals cases, ensuring compliance with university regulations and procedural requirements.
- Provide guidance to students and staff on assessment procedures, deadlines and regulations, working with Student Support Services to coordinate reasonable adjustments where required.
- Maintain accurate and up to date assessment records across internal systems e.g. Sales Force, ensuring data integrity and compliance.
- Coordinate end of module surveys, monitor response rates and maintain records of student feedback outcomes.
- Promote equality, diversity and inclusion in all aspects of practice.
- Provide excellent customer service to students, academic colleagues and professional services teams.
- Undertake other duties commensurate with the grade and responsibilities of the post as reasonably required.
- Educated to degree level or able to demonstrate equivalent relevant professional experience.
- Evidence of continuing professional development relevant to higher education administration, student services or assessment operations.
- Demonstrable commitment to maintaining current knowledge of higher education regulations, assessment practice and sector developments.
- Experience of working in a higher education administration environment.
- Experience of supporting student administration processes, including records management, attendance monitoring or assessment administration.
- Experience of managing accurate and confidential records.
- Experience of coordinating administrative processes involving multiple stakeholders.
- Postgraduate qualification in Higher Education, Education, Business Management, Public Administration or a related discipline.
- Professional qualification or training in quality assurance, governance, project management or continuous improvement.
- Experience of supporting or administering Course Assessment Boards and Award/Progression Boards.
- Experience of coordinating External Examiner processes.
- Experience of using student information systems (e.g. Salesforce) and virtual learning environments (e.g. Brightspace).
- Experience of administering academic misconduct, mitigating circumstances and assessment appeals.
- Experience of supporting quality assurance, regulatory compliance or audit activity within higher education.
- Experience of working collaboratively across academic and professional services teams.
